Keep a change register outside the sales conversation

When a customer changes a subscription, finance needs the agreed terms and effective date. Record upgrades, downgrades, added seats, extensions, cancellation terms, and any credits in a change register linked to the original contract. A note in a customer-success conversation may explain the deal but is not a reliable month-end input by itself.

Separate a requested change from an approved change and from a change applied in billing. Those statuses can differ. A customer may accept an amendment today that takes effect next month, while an administrator updates the subscription immediately.

Reconcile the commercial change to billing

For each material amendment, compare the approved terms with the invoice, credit note, and next billing date. Confirm whether a price change is prospective, prorated, or accompanied by a separate concession. Check taxes and currency as well as the net amount due.

An illustrative customer might move from $400 to $700 per month halfway through a billing period. The correct bill depends on the contract and billing rules. Finance should verify the chosen treatment and effective date rather than assume the platform's default proration matches the agreement.

Review the revenue effect separately

A change to subscription status does not necessarily change previously finalized invoices or their recognition schedules. Stripe's documentation makes this distinction explicit for cancellations. Inspect the underlying invoice and schedule before concluding that a cancellation has removed the remaining revenue.

Contract modifications can require accounting judgment about remaining obligations and consideration. Give the reviewer the old terms, new terms, effective date, and billing effect. A comparison that contains only the new monthly price leaves out information needed to assess the change.

Check the reports that use the same customer

The amendment may affect recurring revenue metrics, renewal forecasts, deferred revenue, receivables, and customer credits differently. Reconcile the customer across those reports. Do not force every report to show the same movement when their definitions differ.

At month-end, investigate approved amendments missing from billing and billing changes missing from the register. Assign any unresolved case to the sales or customer-success owner who can confirm the agreement. Keep a record of the eventual correction and the reporting periods affected, then close the item only after the downstream schedules agree.
