Suspense is a temporary parking place
Sometimes a transaction arrives before finance knows enough to classify it correctly. An unfamiliar bank transfer, incomplete vendor description, processor adjustment, or unidentified owner transaction may need temporary treatment.
The mistake is not using suspense. The mistake is allowing suspense to become a permanent expense category where uncertain items disappear.
Keep an item-level investigation list
For every suspense item, record the transaction date, amount, bank or system reference, possible source, person responsible for investigating it, and next action. Attach screenshots only as secondary support when a statement or source report is available.
Review the oldest and largest items first. A growing suspense balance is usually evidence that an upstream workflow is missing information.
Reclassify only when the evidence is clear
Once the nature of the transaction is confirmed, move it to the correct customer, vendor, owner, tax, payroll, loan, revenue, or expense account. Add a short note explaining the conclusion so another reviewer does not need to repeat the investigation.
If the item relates to a prior closed period, follow the company's prior-period adjustment policy rather than silently editing history.
Use recurring suspense items to fix the process
If the same processor transfer, vendor description, or bank account repeatedly lands in suspense, solve the source mapping. Update billing instructions, bank-feed rules, vendor master data, or staff coding guidance.
The healthiest suspense account is not necessarily always zero during the month, but it should be small, recent, and completely explainable at close.
