Find ledger accounts missing from financial reports

Test whether newly added, inactive, zero, and changed-sign accounts all reach the intended report lines before relying on a balanced statement.

Compare account populations before reviewing totals

Export the complete account population used by the closed trial balance and compare it with the financial report's mapping table. Identify every account without an approved destination, every mapping pointing to a missing account, and every account mapped more than once. A report can appear balanced while omitting equal debit and credit balances.

Include accounts with activity and zero closing balances, accounts marked inactive after posting, and newly created accounts. Do not rely solely on the rows currently visible in the report. A saved report definition may exclude new accounts until someone updates a range or category, even though the trial balance includes them correctly.

Test the mapping as a set of rules

Record whether each destination is determined by account number, account type, name, dimension, or sign. Inspect how the rule behaves when an account is renamed or a new number falls outside an established range. A rule that worked for last month's chart of accounts may need a deliberate update after a structural change.

PCAOB AS 1105 requires auditors to consider the completeness and precision of company-produced information they use. In this internal report check, completeness means demonstrating that the intended account population has a reporting destination, including exceptions that the report does not display automatically.

Inspect duplications and sign-dependent destinations

Suppose a hypothetical $18,000 balance is included in both a detailed expense range and a separate custom report row. Both rows may be individually linked to the correct ledger account, but the report counts the amount twice. Compare the sum of mapped values with the source population and inspect overlapping ranges rather than checking only the existence of a link.

For accounts whose presentation depends on their underlying nature or sign, obtain the accountant's rule. A credit balance in an asset account does not automatically establish that every item belongs in liabilities. The review may need transaction detail or a component schedule. Keep classification judgments separate from the mechanical test that an account appears somewhere.

Make unmapped items visible during preparation

Use an explicit unmapped-items output or equivalent exception list. It should include account identifiers, amounts, current mappings if any, and the proposed destination. Do not allow a report formula to suppress unmatched accounts without a visible warning. Where the application lacks a useful exception output, compare the account list externally using the saved trial balance.

Assign approval for new destinations. The person who creates a ledger account may understand the transaction but may not own financial-statement presentation. Record the approved destination and effective period. If the change affects a recurring management subtotal, tell the report owner so historical comparisons can be assessed separately from the current mapping repair.

Rerun the final population after late postings

Repeat the mapping check after material late adjustments or new accounts introduced during review. Keep the final unmapped list, including an empty result where appropriate, with the source trial balance and mapping version. A check performed before the last journal does not cover an account that was created afterward.

Finish by tracing selected source accounts into the final statement and selecting statement lines back to their source accounts. The two directions expose different omissions and duplications. Preserve any accepted limitation explicitly. The release should show both numerical agreement and an explainable destination for the complete ledger population used in the report.
