Start with the model, then evaluate the interface
Vena and Planful are worth comparing when finance needs a more controlled planning process than emailed workbooks and manual consolidations. The decision should turn on the model, data, and recurring work the team must maintain. Familiar spreadsheet screens can help adoption, but they do not automatically repair inconsistent assumptions or poorly defined responsibilities.
Vena documents a native Excel interface connected to a cloud database, templates, and workflows. Planful describes a platform connecting planning, budgeting, close, consolidation, and reporting, with source-system integrations and Microsoft 365 reporting options. The comparison is therefore more useful than a simple Excel-versus-no-Excel label. Ask each vendor to demonstrate the proposed everyday planning experience.

Choose a forecast that crosses departments
Use a scenario in which a sales forecast changes, hiring is delayed, and the expected cash position must be revised. Sales owns the commercial assumption; department leaders own their proposed hiring; finance owns how those inputs flow into the forecast. The software should make those responsibilities visible.
For an illustrative plan, delaying a $120,000 annual salary by three months changes salary expense by $30,000 before benefits, payroll taxes, bonuses, or other assumptions. Ask the model to show the separate timing and cost drivers. A credible demonstration should not hide all employment cost inside an unexplained multiplier or assume that annual expense and near-term cash change identically.
Have the analyst change the assumption without rebuilding the report. Then ask another analyst to explain where the change came from and which outputs it affected. This tests maintainability more effectively than watching the original model designer navigate a polished demo.
See how a budget holder submits and revises numbers
Vena's documentation describes Excel templates and collaborative inputs mapped to its database. For the proposed Planful workflow, request the actual input and approval experience your budget holders will use. In either system, a contributor should see the relevant scope and understand whether they are editing a draft, a submitted plan, or an approved version.
Test a department that submits late, one that changes an approved assumption, and one that needs to explain a large variance. Determine where comments and supporting schedules remain. A central collection process loses much of its value if the explanations still live in separate email threads that finance has to reconstruct each month.

Compare the same planning requirements
Use a small scorecard with observable results. Ask the future administrator and a budget holder to assess it alongside the finance lead.
| Requirement | What to demonstrate |
|---|---|
| Actuals | A reconciled import with source date and entity mapping |
| Inputs | A contributor changes only the assumptions they own |
| Scenarios | Base and alternative cases remain distinguishable |
| Drivers | An assumption can be traced through the affected outputs |
| Review | Submission, challenge, revision, and approval retain their history |
| Reporting | A board or management figure traces back to the approved model |
Check the work after the initial model is built
A planning platform needs continuing maintenance. Ask the administrator to add a department, map a new ledger account, change a forecast horizon, and replace a departed budget owner. Obtain the steps and the permissions needed for each. The business should understand which changes its staff can make and which require paid specialist help.
The data import deserves its own review. Actuals should reconcile to the source ledger, and changes in account or entity mapping should be documented. Do not let a planning report silently become an alternative set of actual results that nobody reconciles to accounting. Keep adjustments made for management analysis identifiable and reversible.
Test report distribution too. If a board pack uses linked spreadsheet or presentation outputs, verify which version is being refreshed and who can change the underlying numbers. An attractive report is not useful evidence if its figures cannot be tied to the forecast that leadership actually approved.
Buy the process the team can repeat
Compare the required users, modules, data connections, environments, implementation, and support. Include the work of redesigning an inconsistent model; importing an existing workbook unchanged may preserve the very problem that led to the purchase. Keep one-time model development separate from recurring administration in the budget.
Vena may be appealing where an Excel-centered planning experience is a deliberate operating choice. Planful may be appealing where its proposed connected planning and reporting arrangement fits the broader finance process. Validate those possibilities with the same forecast, contributors, and maintenance tasks rather than treating them as universal product rankings.
Choose the finalist whose model another trained finance colleague can explain and update. The acceptance result should identify the approved assumptions, reliable actuals, documented responsibilities, and reports the business can reproduce. Those capabilities make the next planning cycle easier to manage even when the original project team has moved on.
