Start with the systems you intend to keep
Xero and Zoho Books can both serve as the accounting system for a business. The most useful comparison starts with the surrounding software and the people who will maintain it. A company already using Zoho applications should examine the proposed connections carefully. A company whose accountant and existing applications already work with Xero should examine the cost of changing that arrangement.
Xero describes bank reconciliation, invoicing, bills, reporting, and an app marketplace. The US edition of Zoho Books describes receivables, payables, inventory, projects, and configurable workflows. Treat those descriptions as a scope map. They do not establish which plan, connector, or configuration will support your particular transaction. A familiar logo on an integration page is the beginning of a check, not its completion.

Use a connection map instead of a feature score
List each required connection before requesting a quote. A short map is easier to verify than a spreadsheet full of yes-or-no software features, because it names the records that must survive the journey.
| Connection | Evidence to request |
|---|---|
| Bank to ledger | Your institution and account type, refresh behavior, and recovery from a missing period |
| CRM to invoices | Customer identity, approved values, tax fields, and changes after approval |
| Payments to receivables | Partial payments, processing fees, refunds, and settlement dates |
| Expenses to ledger | Receipts, department coding, approvals, and credits |
| Ledger to reporting | Actual dimensions, comparative periods, and access to underlying entries |
Reporting dimensions deserve an early trial
A business may need to see results by department, location, project, product line, or legal entity. Write down the combinations management actually uses. A department-by-project report is a different requirement from two separate reports, and a location label is not necessarily a substitute for separate entity books.
Create sample entries with incomplete coding and ask how those omissions reach the reviewer. Check whether reports show an explicit unassigned category, whether staff can correct the record with an audit trail, and whether connected tools preserve the same classifications. This exercise often exposes more than a polished report demonstration. A report can look complete while excluding the transactions that need the most attention.
Also ask which reporting or project capabilities belong to the quoted subscription. Both vendors present a range of functionality, so the comparison should stay tied to an actual purchasable configuration.

Use the appropriate regional edition
Evaluate the edition intended for the legal entity using the software. A product page for another country can describe different banking connections, tax features, document requirements, and plans. For this comparison, the linked Xero and Zoho pages are US-facing sources. They should not be used as evidence that the same arrangement works for a business elsewhere.
Ask the provider to show how an overseas customer or supplier is handled within your selected edition. Separate the ability to record a foreign-currency transaction from the ability to send money, file a return, or produce a locally required document. These are different responsibilities. An integration or adviser may still be needed even when the accounting application records the transaction correctly.

Put administration into the buying decision
Decide who creates users, changes approval rules, renews integrations, and investigates failed transfers. A company can reasonably choose a more configurable arrangement when someone has time to maintain it. The same arrangement may frustrate a team that expects its accountant to handle everything under a monthly bookkeeping engagement.
Ask the accountant to review one sample month in the proposed system before you sign. Have the sales or operations lead complete the everyday tasks as well. Record the required workarounds, their frequency, and the person responsible. Choose Xero or Zoho Books based on that joint assessment. The stronger result is a ledger and surrounding workflow that your actual team can keep accurate as records and staff change.
