Billing dispute workflow: resolve invoice disagreements without losing receivable visibility

Customers can dispute price, scope, quantity, timing, tax, quality, or purchase-order details. Keep the invoice open, assign the commercial issue, document the resolution, and issue credits only when approved.

A disputed invoice is not the same as an uncollectible invoice

A customer may be willing and able to pay once a pricing, scope, tax, or documentation issue is resolved. Mark the receivable as disputed rather than silently writing it off or repeatedly sending generic reminders.

Collections and commercial resolution should run in parallel.

Capture the exact disputed amount and reason

Record customer, invoice, amount disputed, undisputed amount, reason, supporting contract or order, owner, next action, and expected resolution date.

If only part of an invoice is disputed, continue collection on the undisputed portion where appropriate.

Use credit memos for approved concessions

If the company agrees to reduce the invoice, issue a documented credit or corrected bill through the billing system. Preserve who approved the adjustment and why.

Do not edit a historical invoice in a way that removes the original customer record.

Analyze recurring dispute causes

Frequent disputes can reveal weak contracts, missing purchase-order references, incorrect tax setup, inconsistent pricing, delivery issues, or sales promises that billing cannot reproduce.

Finance should report the pattern so the business can reduce disputes upstream.
