Choose for the people and entities that will spend
Brex and Ramp both publish corporate spend products with expense policies, approval workflows, receipt handling, and accounting connections. The deciding evidence should be how each supports your actual employees, legal entities, and payment locations. A headline reward rate is a poor substitute for an account the company can qualify for and administer.
Start by listing where cards are needed, which entity incurs each expense, and whether employees also claim reimbursements or book travel. Ask both vendors to confirm eligibility and availability for that precise structure. Global marketing language does not establish that every product is offered to every entity or employee.
The product pages reviewed on October 18, 2026 show substantial overlap. This guide therefore compares operating requirements and test cases rather than declaring one provider the winner for every business.

Use a common evaluation sheet
Separate published product capabilities from the configuration you need. Both vendors should respond to the same questions, with country, plan, and contract assumptions attached.

Demonstrate what happens before a purchase
Prepare an illustrative policy for a team subscription, an employee meal, and equipment purchased for a new hire. Set different approval responsibilities where the business needs them. Ask each vendor to show what the employee sees before spending and what the manager receives when approval is required.
Test a purchase that exceeds the authorized amount and a renewal that occurs after a cardholder changes department. These scenarios reveal whether the policy follows the cardholder, the budget, the vendor, or some combination that your administrator must maintain.
Leave room for legitimate exceptions. Employees need a usable route when a hotel requests a deposit or a necessary supplier is incorrectly restricted. Review how an authorized exception is recorded and how the finance team finds it during the close.
Measure the evidence employees must provide
A card transaction describes money movement; the finance team may also need the original receipt and the business purpose. Ask how the system collects those items, links them to a transaction, and handles a missing document.
Try a receipt containing personal and business items. The employee should have a defined process for explaining the split and returning any personal amount where company policy requires it. Check that the accounting result follows the reviewed split instead of coding the whole purchase to one expense.
Watch the process on a phone as well as a desktop. If staff cannot correct a memo or attach evidence without waiting for an administrator, the company may accumulate unresolved expenses. Count the steps people actually perform; do not use vendor time-saving claims as your own measured result.
Keep reimbursement and card accounting distinct
A reimbursement repays an employee who used personal funds. A corporate card purchase creates an obligation within the company's card arrangement. Mixing the two can result in paying an employee for a purchase the company already funded.
Test a duplicate submission in which an employee uploads a receipt that also belongs to a card transaction. Ask the reviewer how they identify the overlap. Then follow a legitimate reimbursement through approval, payment, and the employee's final status.
For spending in another currency, inspect the original amount, settlement amount, fees, and currency recorded in the ledger. The accounting team needs enough information to reconcile the payment and explain exchange differences without guessing from the merchant name.
Evaluate the close with your accounting team
Take a sample statement period and reconcile its opening balance, purchases, credits, payments, and closing balance. Trace a few entries to their receipts and approval history. Include one late refund and one transaction that crosses the period end.
Confirm which fields transfer to the ledger and who changes incorrect coding. If a department manager can edit information after export, ask what that does to the accounting record. Establish whether the correction should originate in the spend platform or the ledger.
Also inspect access when an employee leaves. The administrator needs a process for suspending spending authority, transferring ownership of recurring subscriptions, and retaining records. Canceling a card does not by itself identify every contract that was being paid with it.
Compare costs after the workflow has passed
Request terms for the full setup: platform charges, seats, payment or foreign-exchange fees, travel arrangements, card terms, and support. Keep conditions attached to rewards and offers. Any projected savings should use your actual eligible spending rather than a vendor's headline customer example.
If both systems pass the accounting and employee tests, choose the one with the clearer implementation plan and better fit for your entity structure. Keep an inventory of recurring charges during cutover, move them deliberately, and reconcile pending transactions before closing the former program.
Review the first complete month with both finance and a few employees. Their unresolved items will show whether the new policy is understandable and whether the accounting records contain the evidence the company bought the system to organize.
