Confirm which extension applies
Form 7004 covers specified business income tax, information, and other returns. It is not a universal extension for every business filing. Ask the preparer to identify the correct form, entity, tax period, due date, and filing method, including any separate state or local requirements.
The IRS instructions state that Form 7004 does not extend the time to pay tax. Special rules can apply to particular taxpayers and returns, so obtain advice for the company's circumstances rather than applying one deadline to every obligation.
Retain the estimate behind the proposed payment
Ask what financial information and assumptions support the estimated liability. Record payments and credits already made, with evidence, and distinguish confirmed amounts from expected ones. An extension can provide time to finish the return, but it should not turn the payment estimate into an unexplained round number.
Suppose an illustrative estimate shows $18,000 of tax before $11,000 of confirmed prior payments. The remaining amount is $7,000 under those assumptions. Verify that the prior payments belong to the same entity, tax type, and period before treating them as available credits.
Track submission and payment through completion
Keep the extension submission reference or delivery evidence and the payment authorization separately. Then confirm the actual debit or other completed payment evidence. A scheduled payment can fail, and a successful extension submission does not prove the bank account was charged.
Use the tax authority's approved payment process and verify the tax period and entity before authorizing funds. Do not send payment based solely on bank details in an unexpected email. Route changes through the company's established verification and approval controls.
Keep the original return deadline in the work plan
After the extension, assign dates for missing records, draft review, approval, and final filing. Maintain the estimated payment and its confirmation in the return package so the preparer can reconcile the final liability correctly. Do not assume a state filing or an information return was extended merely because the federal income tax extension was handled.
If a submission is rejected or a payment fails, contact the preparer promptly and retain the evidence and response. The issue is resolved when the relevant filing and payment obligations have both been assessed and completed, not when the task list contains a single extension-done checkmark.
