Obtain the actual acknowledgment
Ask the transmitter for the IRS acknowledgment, including the return type, period, submission reference and rejection rule. A portal message saying 'sent' or a successful upload does not establish acceptance. IRS Modernized e-File processing distinguishes receipt of a transmission from validation and acceptance of the return inside it.
Publication 4163 explains that rejected returns failing processing criteria are not considered filed. Confirm which return was rejected, because a package may include a federal return, extension and state submissions with different statuses. Preserve each status separately rather than marking the whole package complete.
Record when the rejection became available and when the preparer received it. Ask immediately about the applicable correction or perfection period for this form and filing circumstance. Do not assume that the ordinary extension deadline supplies unlimited time to resolve a rejected transmission.

Identify whether the correction changes return content
Have the preparer explain the rejection in plain language and identify the required action. It may involve a data-format issue, inconsistent information or another validation rule. The company should supply verified facts without changing substantive tax positions merely to make software accept the file.
If the fix changes amounts, elections or other approved return information, obtain the revised return and review any signature-authorization requirements. Keep the original authorized version and a change summary. A technical retransmission and a substantive return revision should remain distinguishable in the file.
For a hypothetical rejected submission containing an incorrect tax-period end date, confirm the actual period against the company's records before retransmission. Do not repeatedly try different dates. The supporting evidence should establish the correct answer, and the preparer should evaluate any effect on related schedules or authorizations.

Assign the retransmission and deadline decision
Record who will correct the file, who must approve the change and who will transmit it. Ask the preparer to document the applicable timing rule and any alternate filing procedure if electronic acceptance cannot be obtained. Mandatory electronic filing and paper fallback rules require specific review.
Track payment separately. Rejection of the return does not by itself explain whether an authorized electronic payment was processed, canceled or remains pending. Obtain the payment status before arranging another transfer so the company does not accidentally pay twice.
Preserve each retransmission acknowledgment in order. If a return is accepted with an informational alert, ask the preparer what the alert requires; do not automatically resubmit an accepted return. The IRS distinguishes alerts from rejection conditions, and an unnecessary resubmission can create a duplicate-return issue.

Close the case with acceptance and the submitted version
Obtain the accepted acknowledgment and final submitted return, then compare the entity, period and material amounts with the approved version. Save the original rejection, correction explanation and acceptance together. Keep the electronic postmark or other timing evidence where applicable to the filing record.
Confirm the independent status of each state return and extension in the package. Federal acceptance does not establish state acceptance. Assign remaining rejections to an owner and preserve their separate deadlines rather than hiding them under a federal completion label.
Give the company signer a concise final status showing what was accepted and what remains open. Keep any later agency notice attached to this chronology. The next preparer should be able to identify the return actually filed and the evidence supporting its filing date.
