Build the register from several sources
Compare card statements, vendor bills, bank debits, contracts, and the software inventory. A subscription paid annually may not appear in last month's expenses, while a monthly card charge may have no recorded owner.
Capture vendor, product, entity, owner, users, amount, billing cadence, renewal date, and notice terms. Identify duplicate accounts and overlapping products without assuming they provide identical functions.
Ask the owner what depends on it
Review actual users, operational workflows, data, integrations, and security needs. A low-use tool can still hold a required record or support a critical connection.
Before cancellation, establish how to export data and preserve access needed for ongoing work. Avoid treating the absence of recent logins as proof that the service can be removed safely.
Compare contractual savings with estimates
Identify whether cancellation changes the next charge, a later renewal, or only future expansion. Record nonrefundable commitments and any notice deadline.
For illustration, removing five $30 monthly seats creates a $150 monthly reduction only if the contract permits it and the next bill reflects the change. An annual commitment may postpone the cash benefit.
Connect the change to accounting
Send approved cancellations, credits, and new service dates to finance. Review prepaid schedules and expense allocation under the accounting policy. A product being canceled does not automatically justify deleting its prior cost history.
If several teams share the remaining subscription, agree how management reporting allocates it. Keep the basis stable enough to compare departmental spending.
Verify the result
Check the following invoice or card statement, confirm access and integrations still work, and retain the cancellation or adjustment evidence. Update the cash forecast when the timing and amount are known.
Repeat the review around renewals and material changes. The useful output is a verified reduction or documented decision to retain the service, with the company record and critical workflows preserved.
