Prepare Canadian payer records for the T4 or T4A reporting review

Sort payment facts, recipient relationships and reporting exceptions before preparing Canadian T4 and T4A information slips.

Build the payment population before selecting a slip

Collect the calendar year's payroll, accounts-payable and other payment records. Identify each recipient, payment date, amount, nature of payment and relationship to the payer. A business can miss reportable amounts when it reviews payroll alone, while a vendor export can mix service fees with purchases of goods and other transactions.

CRA's T4 guidance covers employment remuneration and specified related amounts. T4A covers several different payment categories, including certain pension payments, self-employed commissions and fees for services. Treat those descriptions as the start of the review. A T4A is not a universal fallback for anything left out of payroll.

Resolve the recipient relationship and payment type

Retain the agreement and working facts supporting employment or another relationship. If status is disputed, have it assessed before using the intended slip as evidence of status. A contractor label in a payment system does not resolve the underlying question. Identify directors, former employees and recipients paid in more than one capacity for separate review.

Keep the payment category specific. Salary, a taxable benefit, a retiring allowance and a pension payment may follow different instructions even when paid to the same person. Record residency and where services were performed when relevant. These facts allow the preparer to identify specialized reporting rather than forcing every recipient into one of two boxes.

Check specialized returns and thresholds

CRA identifies separate routes for matters such as construction subcontract payments and certain payments to nonresidents. Tag those cases for the relevant T5018, T4A-NR or other return assessment. Preserve the reason for removing an amount from the T4 or T4A population so it does not disappear from year-end reporting altogether.

Check the applicable issuance tests and exceptions rather than applying one $500 filter to every payment type. For T4 reporting, deductions and certain benefits can create requirements at lower remuneration levels. For service fees, CRA's April 2026 fact sheet states that payments exceeding $500 in a calendar year must generally be reported in the prescribed form, usually T4A.

Reconcile the approved amount to the correct box

Build a recipient-level schedule from the reviewed transactions and compare it with the ledger. Explain tax, reimbursements, reversals and amounts assigned to another slip. T4A box 048 reports fees for services and excludes GST/HST and provincial sales tax. Keep those components visible in the source export so the preparer can reproduce the reported amount.

For illustration, three approved service payments of $1,200 each produce $3,600 in fees before separately stated sales taxes. That total should trace to the invoices and payments even if the vendor used different trading names during the year. Resolve duplicate recipient records before combining them; similar names alone do not establish the same legal recipient.

Retain the review behind the filed slips

Keep the classification decision, final recipient details, approved box totals and reconciliation with the filed version. Review exceptions before distributing slips, including missing residency facts and payments made outside the usual system. If a correction becomes necessary, preserve the original and amended reporting trail so the next preparer can explain what changed and avoid repeating the classification error.
