Cash receipt and revenue recognition are different events
A customer can pay a deposit, retainer, prepaid subscription, or project advance before the business has completed the work that supports revenue recognition. The bank balance rises immediately, but the income statement may need to wait.
If every incoming payment is posted directly to revenue, monthly results can swing based on billing terms rather than economic performance.
Use a liability schedule for unearned amounts
Track each material advance by customer, contract, receipt date, service period, amount received, amount recognized, and remaining balance. The schedule should reconcile to the deferred-revenue or customer-deposit liability in the ledger.
When the earning event occurs, move the supported amount from the liability account into revenue.
Match the schedule to customer contracts
The finance team needs the commercial terms that explain when performance occurs. A deposit for a future project, a refundable security amount, and a nonrefundable advance can have different accounting implications.
Keep the contract or order reference beside the schedule so the close reviewer can see why the balance remains deferred.
Watch cash planning separately
Deferred revenue is still real cash, but some of it may fund obligations the company has not yet delivered. Forecasting should distinguish cash availability from revenue already earned.

Is a customer deposit always revenue when the cash arrives?
Not necessarily. The accounting treatment depends on what the business has earned under the arrangement. Advance payments may remain a liability until the relevant obligation is satisfied.
