Separate the dispute from the unpaid balance
Record the invoice, amount disputed, undisputed portion, reason, customer contact, and date raised. A customer objecting to one line does not necessarily contest every invoice on the account.
Check the contract, purchase order, delivery evidence, and billing terms. Determine whether the issue concerns price, scope, service quality, timing, or documentation. Each needs a different owner and response.
Assign a resolution owner
Give the commercial or operational owner the evidence needed to investigate. Finance should maintain the receivable and collections record, while the relevant team assesses the service or contractual question.
Use one coordinator for customer communication. Conflicting messages from sales, finance, and delivery can prolong a dispute even when the facts are available.
Record decisions before changing the books
If the company agrees to a credit, revised invoice, refund, or payment plan, preserve the approval and reason. Have the accountant assess revenue or receivable treatment where material.
For illustration, a $10,000 invoice with a $1,500 agreed reduction may leave $8,500 due under the revised arrangement. A promise to discuss a reduction is different from an approved credit; keep their statuses distinct.
Continue collection using the agreed facts
Confirm what remains due and the payment date or plan. Handle undisputed amounts in line with the contract and approved collections policy. Seek appropriate advice where enforcement or legal rights are in question.
Update automated reminders so they use the reviewed balance. Retain customer correspondence without exposing unrelated information in the working record.
Review aged disputes at close
Track age, amount, owner, next action, and potential reporting effect. Ask the reviewer whether collectability or revenue treatment needs adjustment. Do not leave a material dispute out of the close because operations is still investigating.
After resolution, compare the credit, payment, or write-off with the decision record. Feed recurring billing errors into the source process. The company should be able to explain both the customer's outstanding balance and how the dispute was resolved.
