Unapplied customer cash: resolving receipts before sending reminders

Match unidentified receipts to customers and invoices, investigate overpayments, and preserve evidence before changing receivables or chasing payment.

Start with the receipt evidence

For each unapplied receipt, capture bank date, amount, payer description, currency, entity, and payment reference. Obtain remittance advice or processor detail where available. A short bank description may refer to a parent company rather than the invoiced customer.

Keep the receipt separate from sales until its nature is established. It could settle an invoice, represent a deposit, reimburse an expense, or be money received in error.

Search by more than an exact amount

Compare invoice references, customer names, combined balances, and payment dates. One receipt may cover several invoices, exclude a disputed amount, or reflect a customer withholding agreed fees.

Use the contract and remittance evidence to explain differences. Do not assume the closest open amount is the correct invoice merely because the match looks plausible.

Contact the right customer owner

Ask the account or collections owner to request an allocation when evidence is missing. Provide the receipt details through the appropriate channel and avoid sending unrelated customer information.

Pause an automated reminder for the affected amount where the company's process allows it. A customer who already paid should not receive an escalation caused by an internal allocation delay.

Handle credits and overpayments deliberately

If the receipt exceeds the valid invoice balance, identify whether the excess will be applied later or refunded. Obtain approval and record the customer balance correctly.

For illustration, a $5,000 payment against a $4,700 invoice leaves $300 to explain. It does not automatically create additional revenue. Keep the credit or refund decision linked to the original receipt.

Reconcile the final posting

Match the applied payment to the bank or processor record and confirm the resulting receivable. Check for duplicate receipt entries created by manual posting and an integration.

Age unresolved cash with owners and next actions. At close, retain the source, allocation, customer confirmation where relevant, and reviewer decision. Use repeated cases to improve invoice references or remittance collection so the next month's aging report contains fewer misleading overdue balances.
