Establish where the employee works
Ask for the effective move date and actual work location, using the company's HR process. Residence and work location can differ. Temporary work, travel, and remote arrangements may need different review from a permanent move.
Keep the information secure and tell the responsible payroll and compliance owners. A mailing address update alone does not necessarily change every setting or registration that matters.
Review obligations before changing payroll
Have the payroll specialist assess withholding, unemployment, local requirements, registrations, and other employer obligations for the specific states. Ask the company's adviser whether the change affects broader business registration or tax questions.
Do not infer that one provider setting completes the compliance work. Record who confirms registrations, effective dates, and filing responsibilities.
Coordinate the provider and benefit changes
Give the payroll provider the approved location, dates, and required employer accounts. Review benefits, workers' compensation, and other relevant arrangements with their owners. Keep the employee informed through the authorized HR process.
If the move happened mid-period, identify which wages relate to each location and ask the specialist how to apply the rules. Avoid splitting payroll using an unsupported percentage.
Send the resulting records to accounting
Finance needs the payroll output, employer costs, new tax liabilities, and any correction affecting an earlier run. Add new accounts or schedules only when they serve the reporting and reconciliation work.
For illustration, a move that changes the withholding jurisdiction can alter where liabilities are remitted without changing gross salary. Recording only the net bank withdrawal would leave that change unseen.
Verify the first affected run
Review employee setup, wage allocation, withholding, employer costs, and funding before release where possible. Confirm required submissions and retain acknowledgments or account evidence.
After the run, reconcile the ledger and provider reports. Assign any correction a coordinator so HR, payroll, tax, and accounting all receive the result. Update the location register and recurring filing calendar, with the supporting dates preserved for year-end review.
