Keep the original grant intact
When a company reduces an exercise price, extends an option's term or changes vesting conditions, save the original agreement before updating the equity platform. Retain the amendment, approvals, employee communication and effective date. A system export showing only the latest terms cannot explain what changed or support a comparison with the earlier award.
For equity-settled employee arrangements, IFRS 2 has specific modification requirements. A change beneficial to the employee can add accounting cost, while an unfavorable change does not automatically reduce the original cost. Have the accountant assess the complete amendment, including any cancellation or settlement features.

Describe each changed right and its effective date
Create a comparison of exercise price, instrument count, expiry, service conditions and performance conditions. Identify whether changes affect all holders or a selected group. Ask legal and compensation owners to resolve inconsistent dates or approvals before the valuation specialist chooses a measurement date.
Separate a modification from an additional independent grant in the document record. Where old instruments are cancelled and new ones issued, explain whether the new instruments replace the old award. The commercial purpose and identification of replacement awards can matter; counting a new certificate number is not enough to determine the accounting event.
Obtain a comparison measured on a consistent basis
Supply the valuation specialist with both sets of terms and the relevant market and employee-behavior assumptions. Ask for an explanation of inputs that differ because the contract changed and inputs held constant for the comparison. Retain the model version and supporting data rather than only the final incremental value.
IFRS 2's incremental fair-value assessment compares the modified instrument with the original instrument at the modification date. Comparing a new value with an old grant-date valuation can mix the contractual change with intervening market movements. The original grant-date measurement still serves its separate role in the overall accounting calculation.

Reconcile original and additional cost separately
Keep the original service-cost schedule and any approved incremental amount distinguishable. The standard generally preserves a minimum based on the original grant-date value, subject to its specified vesting-condition exception, and requires recognition of beneficial modifications. The recognition period depends on the modified terms and whether the award has vested.
Ask the reviewer to approve the method for each affected group before importing entries. Where one amendment changes both value and service conditions, a single incremental-value number may not describe the entire effect. Reconcile the approved total, prior amounts recognized and future schedule, with a clear explanation of which terms govern each component.

Check the platform against the approved amendment
Trace a modified award through its legal documents, valuation, equity-platform settings and accounting schedule. Confirm the correct employee and instrument count, and preserve any difference awaiting correction. Keep tax valuations and payroll reporting assessments separately identified because they may serve different purposes. At the next close, verify that the original grant has not disappeared or been charged again when the modified record begins.
