Tie the share register to the equity accounts

Reconcile legal ownership records, transaction documents, and accounting balances while keeping share counts distinct from monetary equity amounts.

Use separate rollforwards for shares and money

A share register records ownership quantities and legal details, while equity accounts record monetary amounts under the reporting framework. Reconcile both, using the same underlying transaction population. Do not expect a share-count total to equal an equity balance or infer the accounting value of an issuance from the ownership percentage alone.

Identify the legal record maintained by the company or its authorized administrator, the ledger accounts used, and the accounting period. Obtain executed transaction documents and approvals through the responsible legal owner. A draft capitalization spreadsheet may help explain a proposal, but it should not be treated as evidence that a transaction legally occurred.

Explain amounts that do not move with the share count

Some equity-account changes may have no new share issuance, while some share changes may have little or no effect on total recorded equity. Preserve the event-specific explanation. Transaction costs, retained results, and other components need their own accounting support. Do not add a balancing share transaction to make the legal register resemble the ledger.

In an illustrative simple issuance, 10,000 shares are issued for $50,000 of cash. The share rollforward increases by 10,000 and the accounting records must explain the $50,000 consideration under the approved classification. If the bank receipt is $48,000 after a documented $2,000 deduction, reconcile the gross consideration and deduction separately rather than recording fewer shares to match cash.

Connect the component accounts to the equity statement

IAS 1 includes a statement of changes in equity in a complete IFRS statement set. The preparer needs an approved monetary rollforward for each relevant component, alongside the separate legal quantity records. Confirm the framework and effective presentation requirements for the company's period.

Tie opening balances to the accepted prior close and closing balances to the current ledger. Identify direct postings to equity that lack transaction documents or an approved accounting explanation. Review changes in account naming and reporting mapping so a reclassification does not appear to be a new contribution or distribution.

Resolve differences with the owner of the underlying record

Send legal-record questions to the authorized company or legal administrator and accounting questions to the responsible accountant. Keep the difference register specific: missing document, incorrect date, unmatched quantity, unsupported amount, or classification issue. A numerical correction in one system should not be used to override a disputed fact in another.

Retain the final share rollforward, monetary rollforward, transaction crosswalk, and approved corrections. Where an event remains uncertain, identify its reporting consequence and obtain the appropriate decision before release. The next close should begin with accepted legal quantities and accounting balances, with a clear explanation of how the two records relate.
