Financial document retrieval: testing whether your company archive works

Pick a filing, balance, payroll period, and material transaction to verify that the company can retrieve complete evidence without a provider’s memory.

Test real retrieval questions

Choose a filed tax return, a month-end bank balance, a payroll period, and a material purchase or contract. Ask an authorized person to retrieve the supporting record using the company's normal archive.

The test should establish whether the evidence exists, is complete, and belongs to the correct entity and period. A folder name or backup file alone does not answer those questions.

Follow the evidence chain

For a filing, look for the final document, acknowledgment, payment, and relevant adjustments. For a balance, find the source statement, reconciliation, schedule, and review.

For a transaction, connect invoice or contract, approval, payment, ledger entry, and any later correction. Identify where the chain stops.

Check ownership and access

Verify that company administrators can retrieve records without relying on a departing employee or former provider. Use permissions appropriate to sensitive tax, payroll, and banking information.

The FTC's guidance on protecting personal information supports limiting access and preserving security. A retrieval test should not create unrestricted copies of documents merely to prove they can be downloaded.

Record gaps with a practical fix

List missing evidence, unclear versions, inaccessible accounts, and broken references. Assign an owner and completion date.

For illustration, a P&L export without its reconciliation workpapers may establish reported expense totals while leaving cash balances unexplained. The fix is to retain the needed support, rather than produce another statement PDF.

Repeat at important transitions

Run a proportionate retrieval check before changing accountants, payroll providers, software, or document systems. Confirm that required archives and exports remain usable.

Retain the test results and verified locations, then correct the source process creating gaps. The company should be able to explain a material financial event after its original participants leave, with complete evidence still under its control.

Check whether source links expire or depend on provider access. Retain the required document through the approved process when a link alone will not preserve evidence. Record the verified location without creating an unnecessary public or unrestricted copy.
