Distinguish image capture from accounting extraction
A digitization quote should state whether it delivers images, searchable text, structured fields or accounting entries. Those are different outputs with different review needs. Scanning an invoice does not establish that the extracted date, amount or supplier is correct, and extracting fields does not authorize posting them to the ledger.
Inventory the records by type, period, location and condition. Identify double-sided pages, attachments, handwritten notes and documents whose order carries meaning. Give the provider a representative sample before accepting a unit price. A rate per page can conceal substantial work organizing mixed files or resolving unreadable originals.
Set acceptance standards around retrieval
IRS electronic-record guidance addresses indexing, preservation, retrieval and legible reproduction. Ask the provider to demonstrate those capabilities for the proposed output. The company should be able to find a document using its ordinary accounting reference and read all relevant content without the original scanning team present.
Agree how completeness is checked from intake through delivery. Use batch counts, document identifiers and exception logs suited to the volume. Include attachments and reverse sides where relevant. A folder containing many readable images can still be incomplete if a portion of the source archive never entered the batch.

Define review of extracted data
If fields are extracted, specify the required fields, expected formats and validation. Ask how uncertain values are marked and routed to a person. Do not let the provider replace unreadable information with a plausible guess. An explicit unresolved field is more useful than an incorrect value that looks verified.
Choose a review method with the provider and the accounting owner, including what errors require a batch to be reworked. Distinguish recognition errors from ambiguities in the original document. If the company wants live entry into accounting software, commission the posting and approval controls as an additional, explicit stage.
Resolve duplicate handling before conversion. Two copies of the same invoice may contain different approval notes. The provider should follow an agreed retention and labeling method rather than deleting apparent duplicates automatically. Preserve the ability to explain which version supported the original accounting decision.
Protect custody and sensitive information
Agree how physical documents are transported, stored and returned, and how digital access is controlled. Identify subcontractors and processing locations that require review. FTC security guidance supports restricting access to sensitive information and verifying provider practices. Use a controlled test batch before releasing a large confidential archive.
Set the procedure for a lost original, unreadable page or accidental disclosure. Name the contact and evidence the provider must supply. Record any legal or contractual restriction on copying particular documents and obtain appropriate advice before sending them into a general-purpose extraction service.
