Define the register the company needs

State whether the project will rebuild financial-reporting records, tax records, an operational asset list or a coordinated set. Those outputs can use different classifications and calculations. Ask the provider to name the entities, asset categories, locations and periods covered before estimating effort.

Give the candidate the existing register, ledger balances, purchase records and known disposals. Explain which sources are reliable and which are incomplete. A physical list can show equipment on site while missing its original cost; a tax schedule can contain assets the operating team no longer recognizes.

Separate documentary reconstruction from a physical count

Ask whether the provider will inspect assets, rely on management's count or work only from records. If physical verification is included, identify locations, access conditions and the people who can recognize specialized equipment. State how assets held elsewhere, leased items and items owned by another party will be handled.

IRS guidance identifies acquisition, cost, improvements, use and disposal information among relevant asset records. Use those categories to discuss available evidence, while having qualified professionals determine the tax and accounting treatment. A missing purchase invoice should remain an evidence gap rather than becoming an invented historical cost.

Buy an exception schedule with the rebuilt file

Require the provider to identify unmatched assets, duplicate records, unsupported amounts and uncertain disposals. Each exception should show the source examined, unresolved question and person who can answer it. The company needs a transparent record of what reconstruction established and what it could not prove.

Agree how the provider proposes corrections and who reviews them before posting. The project may reveal an error, a missing document or a difference between tax and financial-reporting records. Those explanations have different consequences. Keep proposed changes separate from the approved final register.

Specify how grouped purchases, component replacements and asset moves are recorded where relevant to your operations. Ask for examples using the company's actual asset types. A register that cannot accommodate the way assets are acquired and replaced may require another reconstruction soon after handoff.

Test the connection to the books and source evidence

At acceptance, select an asset acquired during the covered period, an older asset and a disposal. Ask the provider to trace each from support through the register to the relevant accounting records. Have a qualified reviewer evaluate material judgments and calculations under the applicable framework.

Reconcile the final register totals to the agreed ledger version and explain differences. Include the status of tax schedules when they are outside the project. A clean total does not establish that every individual asset is correct, so retain the exception and sampling limitations with the acceptance record.

Assign maintenance after the rebuild

Name who records additions, improvements, transfers and disposals after the project ends. Agree the source documents and approval route for each. Ask the provider to train the designated owner using an actual approved transaction, with a short written guide suited to the company's systems.

Ask whether serial numbers and location labels will be captured or supplied by staff. Those fields can support future identification, but collecting them can add site work outside a document-only reconstruction.

Retain the final editable register, supporting references, approved corrections and unresolved issues. Resolve proprietary-tool restrictions before work begins. The project should leave the company with records it can maintain and explain, rather than a one-time spreadsheet whose assumptions are understood only by the consultant who built it.
