Define the reporting framework and project boundary
Tell the candidate which reporting framework the company uses, which entities are included and why implementation is required now. Ask it to confirm the applicable requirements and its relevant experience. FASB's Topic 842 materials describe recognition of lease assets and liabilities for lessees under U.S. GAAP. Other frameworks and particular arrangements need their own analysis.
Name the period through which the project must deliver results. Separate initial implementation from recurring monthly maintenance. A provider may build an opening schedule without accepting responsibility for later amendments or new contracts. Management needs to know who will maintain the records after the specialist leaves.

Buy completeness work explicitly
Ask how the provider will establish the contract population and what the company must supply. A list from accounts payable may miss agreements held by facilities, procurement or operations. Decide whether the specialist searches for potentially relevant contracts or begins with a population management asserts is complete.
Create an intake schedule for agreements, amendments and supporting facts. Assign an internal owner who can resolve missing documents and explain actual use. If contract interpretation requires legal advice, establish that route. The accountant should not be expected to infer undocumented commercial terms from payments alone.
Separate extraction from accounting judgments
Request a record of extracted terms, assumptions and decisions requiring management approval. Ask the specialist to explain how it identifies judgments needing additional evidence or another professional's input. A software import of contract data is only one stage of the assignment.
Agree the calculation and reporting deliverables appropriate to the scope, including how they connect to the company's ledger and disclosures. Have the responsible accountant and, where relevant, auditor discuss intended outputs early. Their involvement should be planned with applicable independence and professional responsibilities in mind.
If software is proposed, identify the account owner, recurring cost, export capabilities and maintenance requirements. Compare the implementation fee with the full operating commitment. A spreadsheet may create different maintenance risks from a subscription, but neither choice removes the need for review of inputs and conclusions.
Test acceptance with a contract and a change
Before completion, ask the internal owner to trace a selected agreement from source terms through approved inputs to the resulting schedule. Include an amendment or other change relevant to your contracts. The demonstration should show where a new fact is entered, who reviews it and how revised outputs are distinguished from prior versions.
Record unresolved contracts and assumptions separately. A provider should not claim the population is fully implemented when essential agreements remain unavailable. Decide whether those cases prevent acceptance, support partial acceptance or require a separately scoped completion stage under the agreement.
Purchase a maintenance handoff the company can use
Require instructions suited to the employee or provider who will maintain the records. Include recurring inputs, review dates, version control and events that require specialist advice. Confirm a defined period of post-handoff questions and the fee for further technical work.
Identify who searches service agreements for arrangements requiring further lease assessment. Contract extraction from a supplied lease list and a broader completeness investigation should have separately understood boundaries.
Retain final calculations, source links, approved judgments and the implementation decision record. Assign ownership of new contracts and amendments within ordinary operations. The project is useful when the company can maintain its accepted approach and recognize a change requiring review, rather than depending indefinitely on the original consultant to explain every schedule.
