When marketplace advertising fees come out of your payout

Reconcile advertising charges deducted from settlements with campaign reports and the ledger so spend is not missed or recorded twice.

Find how the platform collects the charge

A marketplace can collect advertising fees through settlement deductions, a card charge, a separate invoice, or a combination of methods. Map the actual arrangement for each account and period. A campaign dashboard shows activity, but the settlement and billing records explain how the amount was charged.

Record the marketplace account, campaign billing period, currency, invoice or charge reference, and payment route. A change in billing method is worth flagging because an old automation may continue posting entries after the platform starts collecting fees another way.

Reconcile billed spend to the deduction

Compare the billing statement with settlement detail rather than assuming campaign spend equals the deduction in the same week. Timing, credits, taxes, adjustments, and currency conversion can create differences. Keep each difference identified by cause and expected resolution.

For an illustrative settlement, $12,000 available before advertising less a $900 ad charge produces $11,100 before any other deductions. If the $900 is already recorded from the advertising invoice, the settlement should clear the related balance rather than create another $900 expense.

Check both the bank feed and the connector

An accounting connector may import advertising expense within a settlement summary while a separate integration posts the campaign invoice. Trace one charge through both paths. Compare stable charge or invoice references, not only matching amounts, because recurring campaigns can produce similar totals.

Do not solve a duplicate by deleting a whole payout entry that also contains legitimate sales, fees, and refunds. Identify which system should own the advertising posting and correct the overlap with an approved adjustment or mapping change. Preserve the settlement reconciliation afterward.

Keep performance reporting on a comparable basis

For campaign analysis, use an ad-spend definition and date range that match the revenue question being asked. Cash paid this month can settle advertising incurred earlier, while an attribution dashboard may credit sales after the click date. Label the difference between advertising performance and payment timing.

At close, reconcile the advertising payable or clearing balance to unpaid invoices, settlement deductions, and credits. Review any negative or aging balance. The final schedule should explain the expense, the amount paid, and the amount still owed without making the net bank deposit do all three jobs.
