Give the extra run its own reference and purpose
An off-cycle run may correct an error, pay a bonus, or handle another authorized payment outside the regular schedule. Record the reason, approver, pay period, payment date, and provider run identifier. Keep a reversal or void distinguishable from a new payment.
The payroll specialist should determine the correct processing and any reporting correction required. Reissuing a failed payment is not always the same as creating new gross wages. Finance needs the provider's actual transaction history to avoid recording a second compensation cost for the same obligation.
Use the full run list for the closing period
Export all completed, adjusted, and voided runs relevant to the period rather than only the regular monthly summary. Compare the run list with bank funding and the ledger's payroll entries. Identify any run processed under a different account or employing entity.
Suppose regular illustrative payroll is $30,000 gross and an approved off-cycle payment adds $2,000 gross. The combined gross amount is $32,000 before other corrections. If the provider's monthly export already includes the extra run, posting a separate $2,000 journal without checking the export would duplicate it.
Trace reversals and failed payments through settlement
Match returned funds, replacement payments, and provider adjustments to their original references. A returned net-pay amount may leave a genuine amount owed to an employee until the replacement succeeds. Do not treat the returned money as income or assume the obligation ended when the bank credit arrived.
Check payroll taxes and deductions separately from employee net pay. A payment correction can require additional steps in provider records or tax reporting. Retain the specialist's approved handling and evidence of completion rather than trying to infer the tax outcome from the bank alone.
Close the exception and improve the handoff
Reconcile the complete payroll population to gross wages, employer costs, liabilities, and cash movements. Keep unresolved employee amounts restricted and assigned to the payroll owner. A public close checklist can show that an exception remains without exposing compensation details.
Review why off-cycle work was needed. Late approved hours, missed compensation changes, or unreliable funding can require a process correction. Save the final run references and ledger mapping so the next monthly export cannot silently reintroduce an already recorded adjustment.
