Preserve the offline order population by device and session
Record the orders accepted during the connection interruption, their amounts, device and store location. Retain whether goods were released and the customer information collected through the approved checkout process. The store's completed-sales count may include transactions whose card payment has not yet reached the processor. Finance needs the unresolved population before assuming it will all appear in settlement.
Shopify's offline-payment guidance states that offline card transactions are captured after reconnection and may then be declined. Eligibility and device behavior vary. Use the actual configured offline mode and provider instructions; a normal online authorization message should not be assumed for an offline transaction.

Reconcile every pending transaction after reconnection
Have the authorized store owner restore connectivity following the provider's instructions and confirm that pending transactions reach a final payment status. Avoid deleting local order data or taking device actions that conflict with those instructions. Save the resulting payment references and distinguish successful capture, decline and still-unresolved processing.
Match successful captures to the original orders, then to settlement detail when available. Check that the central order system did not create a duplicate after synchronization. A delayed upload is still the same customer purchase. Preserve the original sale time and later processing time so period differences can be explained.
For a hypothetical offline batch of 40 orders totaling $2,400, assume 38 orders totaling $2,270 are captured and two orders totaling $130 are declined. The $130 remains a collection or other approved resolution issue; it should not be hidden inside processor fees.
Resolve declined orders without a duplicate charge
Confirm the decline before arranging another customer payment. Use an authorized payment request and record the new reference against the original obligation. Customer contact should describe the actual status calmly and avoid implying that the bank settled an amount it declined. Do not retain or request card details outside the provider's approved payment flow.
If the customer returns the goods instead, document receipt and condition separately from the failed collection. If management approves a concession or write-off, retain the reason and authority. The accountant must assess the sale, receivable, product cost and resolution under the relevant policy. A payment failure does not reverse the physical release of inventory automatically.
Use the outcome to review offline limits
Compare the unresolved amount with the business's approved transaction and device limits, where supported. Review the duration of the outage, the time to reconnect and the practical ability to contact customers. Management can then decide whether the current offline operating policy matches the risk it accepts and the service it needs to maintain.
At the close, retain a schedule of offline orders with final payment status and any remaining customer balance. Reconcile device totals to central records and bank settlement, with exceptions assigned to an owner. Close the outage case only after every original offline transaction has a supported payment or commercial outcome.
