Hire a controller when the accounting needs an accountable reviewer

A controller assignment can give the business a clear owner for its accounting close, supporting schedules, review process, and reporting. The six providers below publicly describe controller services or an embedded controllership role. They cover different engagement models, so use the list to compare responsibilities rather than assuming that a controller means the same package everywhere.

Begin with the gap you need to fix. Transactions may already be entered, while material balances remain unexplained or management waits for someone to approve the financial statements. Alternatively, the company may need both additional preparation capacity and senior review. Name those two needs separately so the proposed controller is not expected to do every operational task by default.

The shortlist and the service boundary to verify

These are documented options to investigate, not a scored ranking. Some providers offer a distinct controller engagement; others include controllership within a broader accounting or finance team. Ask each candidate which model it would propose for your business and what it expects your existing bookkeeper or staff accountant to retain.

Acuity and BELAY for an explicitly defined controller role

Acuity describes accounting services delivered through an outsourced controller, distinct from its bookkeeping and CFO offerings. BELAY lists a fractional controller alongside bookkeeping, a full accounting team, and CFO services. For either provider, decide whether the controller supervises your existing preparation work or whether you need other roles included.

Ask for a sample responsibility schedule covering balance-sheet reconciliations, accruals, review of unusual entries, financial statements, and communication with management. Identify who prepares each item and who accepts it. If the same professional performs both preparation and review, ask what additional oversight is appropriate to the complexity of your business.

Bennett Thrasher and Burkland for specialist accounting discussions

Bennett Thrasher's virtual-controller scope includes monthly accounting support, technical accounting, reporting, and systems-related work. Burkland describes controller services that can address areas such as revenue recognition, equity, consolidation, inventory, and audit preparation. Those descriptions make them candidates for companies with specific schedules or accounting questions to resolve.

Provide a representative issue from your business, with sensitive details removed. Ask who would handle it, what supporting evidence they would need, and whether it sits inside the ordinary controller engagement. A provider's ability to undertake specialist work does not mean all of that work is included in the recurring fee.

If an independent auditor is involved, identify the boundary between preparing records for the audit and issuing an opinion. Have the responsible professionals confirm the permitted engagement structure and any independence requirements before assigning overlapping work.

NOW CFO and Propeller for different levels of team coverage

NOW CFO distinguishes CFO strategy, controller work, and staff-accountant execution. Its controller description includes close, reporting, budgeting, and systems implementation. Propeller places controllership within an embedded team that also supplies CFO leadership, accounting support, and FP&A. These are different ways to supply capacity around a controller responsibility.

For a temporary vacancy, ask how quickly the proposed person can take over the required work and what documentation they need. For a recurring team arrangement, ask how the controller coordinates with internal managers and other external professionals. Clarify who owns hiring or handover if the business later moves the role in-house.

The size of the external team should follow the workload. If your staff already prepare reliable schedules, you may need review and technical support. If the close is late because nobody has time to perform the reconciliations, include preparation capacity rather than assuming senior review alone will fix the delay.

Set review authority without giving away company control

Decide which adjustments the controller can prepare, which need management approval, and which require a tax or other specialist's input. Keep an explanation and supporting evidence for material changes. Staff should know where to raise an issue and who can decide that a period is ready for reporting.

Separate accounting access from the authority to move money or change vendor banking details. A controller may oversee payment controls without personally releasing every payment. Define the permissions needed for your chosen arrangement and document who approves exceptions. Review those permissions when the assigned team changes.

Evaluate the first close and the unresolved items

Ask for a delivery calendar tied to client-input deadlines. The output should identify the accounting basis, reporting period, reviewed schedules, and outstanding issues. A controller who discovers an unsupported balance should explain it and propose the next step; hiding the problem to make the close appear finished is not a useful result.

Choose one material account and trace it through the support, adjustment, review, and financial statement. Then check whether the underlying process can be repeated next month. Finish the agreement with the recurring scope, separately priced projects, named reviewer, retained staff duties, and the usable schedules your company receives when the engagement ends.
