Outstanding and stale checks: keep old payments from distorting the bank reconciliation

A check can remain in the ledger long after it was issued. Review whether it is still valid, lost, cancelled, replaced, or subject to unclaimed-property rules before clearing the balance.

Outstanding checks are timing items until they become exceptions

A properly issued check reduces the book balance even though the bank does not clear it until the recipient deposits it. That is normal. The concern begins when the same check remains outstanding for an unusually long time.

Use the bank reconciliation to produce an aging list rather than carrying old checks forward without review.

Investigate the payment status before voiding

Confirm the payee, invoice or obligation, issue date, amount, mailing or delivery evidence, whether a stop payment exists, and whether a replacement was issued. Contact the payee when the obligation may still be due.

Voiding the accounting entry does not automatically eliminate the company's underlying obligation.

Treat replacement checks as linked transactions

If a lost or stale check is replaced, stop or void the old payment where appropriate, reopen the payable if needed, and issue the replacement against the same obligation. Keep both check numbers in the audit trail.

That prevents two checks from appearing to settle one bill independently.

Consider unclaimed-property requirements

Old amounts owed to employees, vendors, or customers can become subject to state unclaimed-property rules depending on the facts and jurisdiction. Do not recognize an old check as income simply because it was never cashed.

Material stale balances should be reviewed with the company's tax or legal adviser before final disposition.
