A payment is under review: keep collection and warehouse release in step

Connect payment-review decisions with order holds, captures, refunds and stock release so a risk queue does not become an unexplained customer balance.

Record payment status separately from the review status

An order waiting for a payment-risk review may already have collected customer funds. Keep the review state, authorization or capture state, fulfillment state and inventory reservation visible as separate fields. Staff should not assume that a held warehouse order is unpaid or that a successful card payment has received the business's approval to ship.

Stripe's review documentation says queued payments can be completed or awaiting capture and that payments under review are typically already processed unless capture is delayed. Inspect the actual payment record and capture configuration. A review queue is therefore not a substitute for the processor balance or the order's financial history.

Define what a warehouse hold actually prevents

Confirm that the hold reaches every fulfillment path, including external warehouses, local pickup and manual staff actions. Determine whether it stops picking, label purchase, carrier handoff or only a storefront status change. If an order has already left the warehouse, record that fact and route the case through the appropriate customer and provider process.

Give each held order a review owner, time received and next action. Preserve the provider's payment reference and the warehouse order reference. Keep customer data access limited to the people who need it. A suspected-risk label is a reason for review, not proof that the customer acted improperly; communication and decisions should follow the business's approved process.

Monitor holds approaching a customer delivery commitment or any relevant authorization deadline. Use the provider's actual timing for the payment method and configuration. Do not promise fulfillment based on an authorization that may no longer be capturable, or let a paid order remain indefinitely unresolved because it disappeared between two teams.

Follow the approved decision through every system

For an approved order, verify whether capture is still required and whether the warehouse release occurred. For a declined or canceled order, verify the actual void or refund outcome and the release of reserved stock. Record the decision, reviewer and linked payment action. Updating the review status alone may leave the financial or physical step unfinished.

In a hypothetical queue, ten orders each have a completed $100 payment. Seven are approved and released, two receive completed $100 refunds, and one remains under review. The population contains $700 supporting released orders, $200 refunded and $100 still requiring a decision. Treating every reviewed order as canceled would conceal the remaining customer amount and misstate the released sales population.

Reconcile the queue before declaring it cleared

Compare the review system with held warehouse orders and processor transactions. Investigate orders marked approved but never released, canceled orders with captured money still outstanding and shipped orders still shown as held. A zero count in one application does not demonstrate that all related actions completed successfully.

Track aged cases and repeated integration failures separately from the quality of risk decisions. Finance needs the unresolved customer amounts and inventory commitments; the risk team needs the evidence and outcome of each review. Close a case only when the approved financial and fulfillment actions are documented, and retain the references needed to explain later refunds, disputes or customer inquiries.
