A product exchange has a price difference: settle the whole case

Calculate the customer's final balance across returned goods, replacement items, fees and payments before treating an exchange as finished.

Calculate the intended final result before processing pieces

List the returned items at the amount the customer is entitled to recover, then add the agreed replacement items and any supported fees. Compare that net result with payments and refunds already completed. The exchange case should explain whether the customer owes more, receives money back or owes nothing further. Keep the calculation available to support staff before they process individual lines.

Shopify cautions that processing only part of a return and exchange can produce a different immediate financial result from processing the entire case together. A refund issued during one step may be followed by an unnecessary collection request during another. Plan the sequence around the approved final outcome and the platform's supported processing options.

Use the original entitlement and agreed replacement price

Find the original line-level discount and the customer's actual return entitlement. A product's current catalog price may differ from its original selling price. Retain any approved accommodation, such as honoring an expired promotion on the replacement, so finance can distinguish a commercial concession from a calculation error. Review taxes under the business's applicable process rather than inferring them from the merchandise difference.

Consider a hypothetical exchange with $70 of eligible merchandise credit, a replacement priced at $95 and an approved $5 return charge. Before tax or other adjustments, the customer owes $30: $95 plus $5 less $70. If the team refunds $70 first, it must subsequently collect $100 to reach the same result. The extra payment movement can create avoidable confusion and should occur only when the chosen workflow requires it.

Preserve separate item lines even when the net cash amount is small. The returned product and replacement can have different costs, quantities and disposition outcomes. A single $30 adjustment cannot explain those inventory movements.

Confirm replacement availability and release conditions

Check whether the replacement has actually been reserved, when it can ship and what customer payment must be confirmed before release. An exchange request can remain open while the requested size or color sells out. Give customer service the current availability and an approved alternative process so it does not promise stock based on the earlier request.

Connect the return receipt to inspection without waiting to record the replacement's shipment. Each physical movement needs its own quantity and reference. If the business sends the replacement before recovering the original, retain that open recovery expectation. The inventory reviewer should see both the replacement cost issued and the condition of any original item eventually received.

Reconcile the final customer and inventory balances

After the exchange, total the accepted merchandise changes, fees and completed payment movements. Verify that the customer-facing order shows the same remaining balance as the accounting records. Investigate an apparent paid status if a separate exchange invoice remains open or a refund failed. Keep the case active until those financial events are resolved.

For management reporting, associate both products with the same exchange case. This allows the business to assess whether a product problem caused replacement freight, handling or lost value. Retain the original sale date and exchange date as separate fields so an exchange does not appear to be a newly acquired customer merely because it generated another order reference.
