A refund and a dispute are not the same workflow
A voluntary refund is initiated by the merchant. A chargeback or dispute is initiated through the payment network or issuer process and may carry fees, temporary holds, evidence submissions, or later reversals.
The books should preserve that distinction because the operating causes are different.
Create separate ledger visibility
Track refunds against the appropriate revenue or contra-revenue policy, dispute losses separately where useful, and record processor fees according to their nature. If a dispute is later won, reverse the temporary loss or receivable based on the processor settlement.
Do not net every movement into one generic payment-fee account.
Reconcile to processor case records
For material disputes, retain the transaction ID, original sale, dispute date, amount, fee, case status, resolution, and payout effect. The processor's case log should explain the ledger movement.
This creates a usable audit trail for finance and operations.
Turn accounting data into an operating signal
Monthly reporting can show refund rate, dispute rate, dollar losses, fees, and recovery rate by product or channel. That makes the ledger useful for customer experience and risk decisions rather than just year-end cleanup.
A consistent classification also makes processor reconciliations far easier.
