Record where work will actually happen

Ask for the proposed move date, actual work location, employing entity, and whether the arrangement is temporary or ongoing. A mailing-address update and a change in work location are not necessarily the same event. Preserve the old and new effective dates in the appropriate restricted employment records.

Route the request through the company's employment policy before assuming approval. Legal, payroll, tax, insurance, and benefits questions may need assessment. The employee's preference for a location does not by itself establish that the company is ready to employ them there.

Assign the jurisdiction review

Have the responsible specialists identify applicable registrations, withholding, unemployment, wage-and-hour, benefits, and other obligations. Rules and exceptions differ by jurisdiction and arrangement. Do not apply one state's treatment to another or conclude that having no physical office removes every employer obligation.

Keep the conclusion and its assumptions dated. If the employee splits work between locations, obtain the records the specialist needs rather than choosing a single state for convenience. Finance should maintain the decision trail without independently inventing legal or tax rules.

Check payroll configuration before the effective run

Confirm that required accounts and settings are ready and that payroll knows the effective date. Review the proposed run for the correct entity, work-location details, and approved deductions. Give the employee an appropriate explanation of any change in their payroll record through the normal HR process.

A mid-period move may require more detailed information than a first-of-month change. Preserve work dates and the provider's handling instructions. Do not overwrite all prior payroll with the new address or state if the historical records correctly describe earlier work.

Verify the first completed reporting cycle

After payroll runs, confirm the approved configuration was applied and retain the relevant payment and filing evidence. Check benefits and other affected systems separately; updating payroll does not guarantee every provider received the change.

Add the location and effective dates to the company's state-activity summary for its tax adviser. Keep future temporary assignments or another move subject to the same review. The handoff is complete when the operating approval, payroll setup, and follow-up responsibilities all reflect the employee's actual working arrangement.
