Define the expected movement before searching for a plug
Start with the accepted prior retained earnings balance and the approved changes that should explain the new balance. These may include profit or loss, distributions, and specific accounting adjustments, depending on the entity and reporting basis. Ask the accountant which components belong in the rollforward. An unexplained difference should remain an investigation item, not an automatic entry to equity.
Save the prior statements, trial balance, and current report with their dates and settings. Confirm whether current-year profit is displayed separately or included in the report's retained results line. A presentation convention can make the visible amount differ from a single ledger account even when no transaction is missing.
Check the accounting application's closing behavior
Determine how the actual system carries prior profit into opening equity. Some reporting behavior may be calculated rather than represented by an ordinary journal. Inspect the platform's current documentation and the company's configuration before posting a manual closing entry. A manual transfer can duplicate an automatic or report-calculated effect.
In a hypothetical expected rollforward, opening retained earnings of $200,000 plus prior-period profit of $60,000 less approved distributions of $15,000 gives $245,000 before other adjustments. If the report shows $305,000, investigate whether the $60,000 profit has been included twice. The arithmetic suggests a test; it does not establish the cause without inspecting the actual records.
Inspect direct postings and prior-period changes
Extract entries to retained earnings and related equity accounts with dates, references, descriptions, and preparers. Trace each unusual amount to its approved purpose. Check whether a prior-period profit figure changed after the original statements were released. The current opening amount may reflect a later correction that the old report does not contain.
IAS 8 distinguishes errors, estimate changes, and accounting-policy changes under IFRS, with different treatment requirements. The accountant should assess a discovered difference using the applicable framework. Do not assume that recording it in retained earnings is correct merely because it relates to an earlier year or because that account makes the trial balance reconcile.

Separate distributions from other owner activity
Trace owner payments, contributions, loans, and transfers to their supporting documents and approved classification. A payment to an owner is not automatically a distribution affecting retained earnings. Likewise, a contribution should not be used to absorb unexplained operating differences. Keep legal and tax determinations with the appropriate qualified advisers where the facts require them.
Check account mapping across periods. A distribution account may appear as a separate equity component in one report and be grouped into retained earnings in another. Prepare a presentation bridge if that explains the difference. A change in grouping should not create an apparent new transaction or alter the underlying ledger without an approved reason.
Close the investigation with a reproducible equity bridge
Show the accepted opening amount, each supported movement, presentation differences, and closing balance. Link corrections to their approved accounting decisions and retain the earlier reporting version. Update the statement of changes in equity and related notes where required. If previously distributed information is affected, have the responsible professional assess the response.
Keep any unresolved component identified by amount, period, and missing evidence. The next preparer should be able to reproduce retained earnings from accepted records rather than inherit a balancing journal with no explanation. Where the cause was a duplicated closing process, document the correct system behavior and remove the obsolete step from the future close instructions.
