Test traffic entered a SaaS customer's bill: define the exclusion precisely

Separate chargeable production activity from approved test usage without deleting the original event trail or excluding genuine customer consumption.

Check whether the activity qualifies for free treatment

A customer calling activity a test does not automatically make it free. Review the product's agreed sandbox policy, trial terms and any specific testing allowance. Identify which environment, account or credentials were designated for that purpose. If the customer ran experiments through a production service under ordinary paid terms, the commercial owner should resolve any requested concession explicitly.

Write a rule that can be applied to records, such as an approved environment identifier during a defined trial period. Avoid a broad rule based only on an email domain or an employee's memory. Shared infrastructure may contain both real and test activity, and an overbroad exclusion can remove legitimate usage from the invoice.

Preserve the complete event population

Retain raw events, then produce a separate reconciliation showing included and excluded quantities with reasons. Stripe's usage-recording guidance describes the link between recorded activity and customer billing. The business still needs its own evidence for deciding which source events should enter that process. An exclusion should be traceable before the meter receives the adjusted population.

For a hypothetical customer with 15,000 recorded operations, the review might identify 2,000 operations in an approved test environment and 13,000 in production. Keep those quantities and the environment evidence separately. If another 500 events cannot be classified, leave them as an owned exception rather than distributing them proportionally to make the reconciliation appear complete.

Correct the invoice and the operating report together

Determine whether the affected invoice is still draft, already issued or already paid. Recalculate the charge using the valid quantity and the customer's allowance or tiers. Excluding 2,000 events does not necessarily reduce the bill by 2,000 times an average rate. Preserve the actual pricing calculation and any approved discretionary concession as separate parts of the resolution.

Tell product analytics whether its report is supposed to show all activity or only paid production usage. Both can be useful, but the labels must stay clear. A corrected billing total should not silently rewrite an operational-capacity history that legitimately included tests. Accounting should receive the financial correction and any effect on previously reported revenue.

Check that an exclusion cannot spread to production activity

Define the exclusion using the narrowest reliable identifiers and dates supported by the approved arrangement. A general customer flag may suppress legitimate production use if the same account hosts both testing and live work. Preserve the included and excluded populations so finance can verify the full quantity rather than seeing only the final billable total.

Test a transition case where the customer starts production while an evaluation environment remains open. Confirm which events belong to each environment and who closes the free-use exception. This protects the customer's agreed trial treatment while avoiding an accidental permanent exemption that the next account owner cannot explain from the contract or event history.

Make future test activity identifiable

Assign an owner for creating and ending test entitlements. Record the customer, environment, approved period and any volume limit before testing starts. Verify that the billing pipeline recognizes the exclusion and that the customer-facing usage display explains what is billable. Test the expiry boundary so a temporary allowance does not become a permanent unreviewed exception.

After repairing the incident, inspect the first ordinary invoice and confirm the approved test events stayed excluded while real consumption remained included. Keep a short list of active testing exceptions for finance review. When the customer moves to production or changes accounts, explicitly close or transfer the exception under the agreed terms instead of relying on the old environment name.
