Find the election before rolling forward the payment

A US partnership or S corporation using a section 444 tax year needs an election file that remains connected to its annual required-payment work. Retrieve the signed Form 8716, filing evidence, first effective year and later changes. Confirm the required year and the elected year separately; a fiscal-year ledger alone does not establish a valid election.

Eligibility includes limits on the permitted deferral period and restrictions that depend on the entity's circumstances. Have the tax adviser review those conditions and any ownership or classification changes. This guide covers the Form 8752 records for partnerships and S corporations. Personal service corporations follow a different mechanism and do not file Form 8752.

Label the base year and election year on every schedule

The Form 8752 base year is the tax year preceding the applicable election year. Put both date ranges at the top of the calculation and use the form revision appropriate to that base year. A spreadsheet titled only with the payment year can lead the preparer to use the wrong income return.

For an illustrative elected year running November 1, 2025, through October 31, 2026, the preceding base year runs November 1, 2024, through October 31, 2025. This example identifies the periods; it does not establish eligibility or calculate the payment. Tie the selected base-year inputs to the final return and preserve subsequent corrections.

List the applicable owner payments separately from distributions and capital movements. The instructions address deductible amounts such as owner wages or rent and specifically exclude guaranteed payments from this definition. Give the reviewer recipient identity, deduction period, payment type and supporting account detail before completing the calculation.

Reconcile the accumulated payment balance

Recover every prior Form 8752, payment confirmation, refund and adjustment. Build a continuous schedule showing the opening net required-payment balance, additional payments, refunds and closing balance. Compare it with the ledger and available IRS account evidence. An unexplained prior-year number should not become an accepted input merely because it was copied forward.

In a hypothetical cash reconciliation, an opening balance of $22,000 plus a $5,000 payment less a $2,000 refund leaves $25,000. That arithmetic checks the recorded movements; the current required payment still comes from the reviewed tax calculation. Keep amounts requested as refunds separate from amounts actually received.

Preserve the base-year calculation, deferral-period assessment and reviewer adjustments alongside the balance schedule. If the return is corrected later, ask whether Form 8752 also needs amendment. Record the affected year and changed input so a current payment does not conceal a prior-period correction.

Keep the obligation active until the election ends properly

Form 8752 is required for each year the election remains effective, including a year with no required payment. Assign the filing and payment deadline from the applicable instructions and retain separate evidence for each action. Paying an amount does not prove the form was filed.

A year change, liquidation or other event can terminate the election and affect recovery of the accumulated balance. Refer the event to the adviser before removing the annual task. The instructions state that an entity cannot make another section 444 election after termination, making the documented termination decision important beyond the current refund request.
