A refundable deposit is different from the monthly cost
A landlord may require a security deposit plus the first month's rent, or a utility may require collateral before service begins. If the deposit is expected to be returned, expensing it immediately can understate assets and overstate the period's cost.
Keep the deposit tied to the contract that created it.
Use a deposit schedule
Record counterparty, agreement, payment date, amount, location or service, refund terms, expected end date, and any conditions that can reduce the refund.
For multi-location businesses, identify the property or account so deposits are not mixed together.
Review when the contract changes
Renewals, expansions, terminations, damages, unpaid bills, or changes in service can affect recoverability. Update the schedule when a landlord or provider applies part of the deposit.
Do not wait until the bank receives a smaller refund to investigate the difference.
Clear the asset at settlement
When refunded, match the cash receipt to the deposit asset. If part is legitimately retained, reclassify the retained amount according to its purpose and preserve the settlement statement.
