Choose a financial cutoff as well as a storefront date
Closing checkout stops new orders; it does not automatically finish the existing ones. Establish the last order date, expected final dispatch date and the person responsible for customer requests after closure. List any subscriptions, preorders, uncollected purchases and outstanding returns. Keep the channel shutdown separate from decisions about the legal business, which may continue trading elsewhere.
Shopify's deactivation guidance describes continuing payouts, possible later charges and chargebacks, and the need to retain billing and payout records. It also addresses unresolved gift cards and advanced purchase arrangements. Review the current requirements before choosing the date, especially where resolving later issues may require restored admin access.

Export evidence that can be used without the live store
Save complete order, transaction, payout, billing, customer-balance and inventory records relevant to the remaining work. Preserve the stable identifiers connecting those exports. Include customer policies and order terms needed to understand unresolved cases. A collection of screenshots is a poor substitute for searchable transaction data when the team must later trace a particular refund or shipment.
Open the exports and test a small set of relationships before access ends: an order to payment, payment to payout, return to refund and gift-card issue to remaining balance. Confirm the date range, currency, filters and record count. A successfully downloaded file can still contain only the visible page or omit the history needed for reconciliation.
Store the records with appropriate access controls and an assigned custodian. Agree retention and privacy requirements with the relevant advisers rather than assuming a platform's storage period meets every obligation. Keep only the sensitive customer information required for the approved purpose and document how authorized staff will retrieve it.
Assign each remaining balance and service task
Create a closing schedule for undelivered orders, customer refunds, store credits, gift cards, processor funds and supplier or fulfillment invoices. Give each item an amount or quantity, supporting reference, owner and next action. A transferred customer obligation should have evidence that the receiving team accepted it and can actually serve the customer.
Reconcile inventory removed from the channel to its destination, including stock at a third-party warehouse or marketplace. Identify whether goods will transfer to another channel, return to a supplier or follow another approved disposition. A listing removed from the storefront does not prove the associated stock has moved or that storage and fulfillment charges have ended.
Keep a defined route for later activity
Review app and service agreements, including charges billed outside the commerce platform. Confirm the status of domains, integrations and operational accounts needed to finish the remaining work. Preserve the ability to receive notices and act on legitimate customer or provider requests. Canceling access too early can make a small refund or billing issue unnecessarily difficult to resolve.
After deactivation, reconcile subsequent deposits, debits and invoices to the closing schedule until the remaining items are resolved or formally handed over. Record the final outcome of each exception. The finance handoff is complete when another authorized person can explain the outstanding balances and respond to a later transaction without depending on an unavailable storefront or an employee's memory.
