Compare equivalent services before comparing prices

TaxJar and AvaTax are often compared as if each name described the same complete service. TaxJar publishes a sales-tax platform with calculation, reporting, and AutoFile offerings. AvaTax is Avalara's tax-calculation product, while Avalara also markets separate returns and other compliance products. Build the comparison around the work included in each proposal.

TaxJar deserves consideration for a commerce workflow supported by its calculation, reporting, and filing products. AvaTax deserves consideration when its integration and calculation scope fits the systems you use, with the required filing and document services explicitly included in the broader proposal.

Separate the jobs in the compliance process

Ask who completes each job and what evidence confirms it is done. A working checkout calculation does not demonstrate that a return has been filed or a payment has reached a tax authority.

Inventory the channels and product categories

List every source of sales: your website, marketplaces, in-person activity, wholesale invoices, and any other relevant channel. Identify which legal entity makes each sale and which system holds the original transaction. This inventory gives both vendors the same problem to price and demonstrate.

Have the company's tax adviser review product categories and the treatment of shipping, discounts, refunds, and mixed orders. Software needs usable source data and an approved configuration. A generic product name can be inadequate when different items require different treatment.

Separate marketplace records from direct sales so the reporting process can apply the reviewed treatment for each channel. Do not assume that a marketplace's collection activity removes all obligations elsewhere in the business. Ask the adviser to identify what still needs to appear in registrations, returns, or supporting records.

Include historical sales needed for the provider's reports and your adviser's review. If a channel is missing, label the gap and assign someone to repair it before treating the resulting dashboard as complete.

Test calculations and corrections with approved cases

Ask the tax professional to choose representative transactions and expected treatments. Include an ordinary sale, a discount, a return, and an exempt transaction if your business makes them. Use the same cases in each proposed configuration.

Verify the address and transaction details sent from the source system. If an integration sends incomplete location information or the wrong product category, even a correctly operating tax engine can produce an unsuitable result for the actual sale.

Test what happens after checkout as well. A canceled order, partial refund, or edited invoice needs to reach the reporting process through a documented correction. Confirm whether a transaction is only estimated, finalized, voided, or adjusted in the system used for filing.

Keep the original transaction identifier across the connected records. This allows finance to trace a reported amount to a particular sale and investigate a discrepancy without relying on a monthly total that conceals the source of the difference.

Assign ownership of every filing obligation

For each applicable registration identified by the adviser, document the filing frequency, preparer, reviewer, funding account, and submission owner. Confirm the provider's enrollment cutoff and the information it requires. Keep responsibilities visible during onboarding and after the first successful filing.

TaxJar's AutoFile and Avalara's returns offerings should be evaluated against that schedule. Ask for the process that confirms submission, payment, and any acceptance or exception status. Store the final return and supporting evidence where the company can retrieve them.

Identify who handles notices, amendments, prior-period corrections, and a change in filing frequency. Those tasks may have separate terms or require adviser involvement. An automatic filing arrangement still needs a person at the company to monitor communications and approve material changes.

When changing providers, assign one owner to each remaining period. Reconcile the list of filings already completed and those still open so the old and new providers do not both file, or each assume the other is responsible.

Require a reconciliation from sales to returns

Compare the sales totals in the source systems, tax software, and general ledger for the same period and entity. Explain differences such as reporting dates, refunds, marketplace activity, and adjustments according to the reviewed accounting and filing policies.

Request pricing for that complete scope, including calculation volume, channels, returns, registrations where purchased, implementation, and support. Keep a clear list of work retained by the company or its adviser. A lower quote for calculation alone is not directly comparable with a quote that includes filing operations.

Choose the product arrangement that passes the approved transaction tests and produces a traceable filing record. Schedule a review of the first completed reporting period, resolve unexplained differences, and keep the adviser involved when products, locations, or selling channels change.
