Unapplied cash bookkeeping: what to do when customer money arrives without a clear invoice

Customer cash can arrive with a vague memo, bundled payment, duplicate transfer, or missing remittance advice. Park it visibly, investigate it, and apply it only when the customer and invoice are confirmed.

Do not guess which customer paid

A bank deposit may include only an abbreviated name or reference. Guessing can clear the wrong invoice, create an artificial past-due balance for the real payer, and confuse collections.

Use an unapplied cash or customer-credit workflow until the source is confirmed.

Build an investigation queue

Track receipt date, amount, bank reference, payer name, possible customer, outreach owner, and status. Compare bank details with invoices, processor reports, remittance emails, and customer payment history.

Prioritize large or old items during the close.

Apply cash only with support

Once the customer and invoice are known, clear the temporary balance and apply the receipt to the correct receivable. If the payment is truly an advance, move it to the appropriate customer-deposit treatment rather than forcing it onto an unrelated invoice.
