Set up the vendor before the payment request arrives

When vendor onboarding begins only after an urgent invoice is due, tax forms, bank verification, approvals, and contract review are rushed. Create the vendor record before the first payable enters the queue.

The requester should identify the business owner and purpose of the relationship.

Collect master data once

Store legal payee name, tax documentation, address, payment terms, currency, approved bank details, contract, renewal date, expense owner, and information-reporting status where relevant.

Restrict who can change payment instructions.

Verify bank changes outside the email thread

A vendor asking to change bank details should pass a defined verification step using a trusted contact method. The person approving the payment should be able to see that the change was independently confirmed.

Keep the verification date and approver in the vendor record.

Review inactive and duplicate vendors

Periodically merge duplicate vendor records, deactivate former suppliers, and confirm tax IDs and names remain consistent. Duplicate masters can lead to duplicate payments and fragmented 1099 reporting.

A clean vendor file makes accounts payable, tax preparation, and cash forecasting more reliable.
