Match the void to the exact purchased label
Retain the label identifier, original purchase charge and reason it was not used. An order may have several labels because the address changed, the package changed or staff printed a replacement. Confirm which label was voided and which label actually traveled with the parcel. The customer's order cancellation does not establish that a purchased label was also canceled.
Shopify documents eligibility conditions for voiding outbound labels and explains that an accepted void credits the account. Its billing guidance says label credits apply to future label purchases. Inspect the actual credit mechanism rather than expecting a matching cash deposit or card refund for every unused label.

Keep the request, credit and application distinct
Record when the void was requested, whether it was accepted and where the resulting credit appears. A pending request should remain open until the service confirms its outcome. Where the label no longer qualifies for the normal process, follow the provider's supported escalation and retain its decision. Do not create an assumed receivable merely because an employee says the label was unused.
Once the credit is confirmed, reconcile it to the original cost and the account statement. If it is consumed by later label purchases, preserve that application. The accountant needs the gross later purchases and the credit used to settle them, not only the smaller card charge. Otherwise, the original order can retain a cost that was recovered while later orders appear artificially cheap.
Avoid netting unrelated label credits against customer shipping revenue. The provider credit and the amount the customer paid are separate records with different origins.
Calculate the cost of a replacement label correctly
Suppose an unused label cost $9 and the merchant buys a corrected label for $11. If the original $9 is fully credited, the supported postage cost for the shipment is $11. Before the credit is confirmed, the records contain two purchases and an unresolved recovery request. Show that status explicitly rather than reporting a permanent $20 cost or assuming the $9 has already returned.
Check whether the replacement label changed carrier, service or shipment timing. The reason can help explain the price difference and identify avoidable rework. If the first label was actually used, two labels may represent two legitimate parcels, and a requested void may be invalid. Confirm physical shipment evidence before making a financial correction.
Review the unused-label population regularly
Compare purchased outbound labels with carrier tracking and order fulfillment. Investigate labels with no movement and no clear future shipment plan within the provider's applicable time limits. Give the warehouse a focused list with order status and label reference. A bulk void of all unscanned labels could disrupt valid shipments scheduled for later release.
At month end, reconcile confirmed label credits and their remaining account balance, with open requests listed separately. Retain rejected requests and the final decision on unrecovered cost. Use repeat reasons such as address corrections or package changes to improve the label-creation step, then check whether fewer replacement purchases appear in the next review.
