Reconcile voucher sales, redemptions and marketplace remittances

Track each voucher from its original offer through customer use and settlement, including promotional deductions that arrive in a different period.

Use the voucher as the settlement reference

A marketplace campaign can generate voucher purchases before customers collect a product or use a service. Retain each voucher's offer, purchase date, eligible benefit, redemption status and contracted merchant share. Connect the voucher to the fulfillment or service record. A campaign's total sold is insufficient evidence that the business has completed its obligations or received all expected cash.

Groupon's merchant payment guidance links remittances to voucher redemptions and explains that promotional adjustments can relate to vouchers sold in a different period from those being paid. Verify your agreement and statement. A low weekly payout may reflect different event populations rather than an incorrect count of services delivered.

Maintain separate sale, use and payment dates

Build a schedule that preserves the original voucher sale date, customer use date, platform processing date and bank receipt date. Record canceled or refunded vouchers using their actual status. Match staff redemption records to the platform so a completed customer visit or product collection is not left unreported and missing from the payment calculation.

For a hypothetical offer with a contracted $30 merchant remittance per eligible redemption, 20 qualifying redemptions produce $600 before other adjustments. If the statement also deducts $90 of documented promotion charges linked to another voucher cohort, expected cash is $510. Show both populations explicitly rather than reducing the recorded redemption count to 17 to make the arithmetic fit.

Reconcile the resulting statement amount to the bank deposit, allowing for actual processing and arrival dates. Keep unpaid eligible redemptions on an exception schedule with voucher IDs and evidence. An unredeemed voucher and a redeemed voucher awaiting payment require different follow-up even if neither has produced cash yet.

Investigate adjustments at voucher level

For each promotional deduction, identify the offer and sale population to which it applies. Compare the calculation with the accepted campaign terms, including any contract-specific participation limits. Keep refunds, correction entries and marketing deductions separate. The platform's net line is a settlement result, not a sufficient description of the event being recorded.

Review mistaken or duplicate redemption attempts with the platform's documented process. Preserve the original event and the approved correction instead of changing the local schedule without external evidence. If a voucher has a disputed customer outcome, link the support case, service record and settlement adjustment so the business can explain both its customer response and its expected payment.

Review the remaining customer commitment

At period end, distinguish unused valid vouchers, fulfilled vouchers awaiting remittance and unresolved refunds. Ask the accountant to assess recognition and presentation from the contract and applicable reporting framework. Voucher expiration, unused balances and consumer obligations require their own terms and jurisdiction review; the absence of redemption does not establish that an obligation can be released.

Evaluate the campaign using fulfilled voucher contribution, additional purchases and actual promotion costs, while keeping outstanding customer commitments visible. Use the reconciled schedule to check whether staff capacity and product availability can support remaining redemptions. A profitable-looking deposit week can still leave substantial delivery work for the following period.
