Zoho Expense vs Expensify: compare the path from receipt to reimbursement

Choose between Zoho Expense and Expensify by testing reports, delegated approvals, employee repayments, regional needs, and the final accounting export.

Choose the report process your employees can complete

Zoho Expense and Expensify should be compared through a complete claim: capture evidence, explain the expense, obtain approval, repay the employee where appropriate, and provide the accountant with usable records. A receipt scan is only the first step. The difference that matters may be how either proposed setup handles a correction or an absent approver.

Zoho describes configurable approval flows, delegates, and multi-entity expense arrangements. Expensify's help documentation describes creating, editing, submitting, and retracting reports, while its product pages describe reimbursements and accounting connections. Evaluate the current interface and subscription proposed for your company; instructions for a different product experience may not match the workflow being sold.

Decide what makes a report complete

A report can group expenses by trip, project, employee, or accounting period. Choose the grouping that helps the reviewer establish purpose and approve the right amount. Requiring an employee to split a single trip across several reports may be justified by entity boundaries, but it should serve a clear purpose rather than reproduce an old spreadsheet habit.

Define the required information before configuring the tool: date, amount, currency, receipt, business purpose, and any project or department allocation. Add requirements for particular expense types only where needed. Employees should understand what information is missing and where to provide it. The trial should include a rejected claim that is corrected and resubmitted without losing its original evidence.

Test approval changes during ordinary staff movement

Ask each vendor to show what happens when a manager is on leave, an employee changes departments, or a report includes expenses for several projects. Determine whether approval follows the employee's current manager, the manager when the expense occurred, or a rule set by the business. These can produce different outcomes, so choose intentionally.

Have the proposed administrator change a rule in a test environment and explain which existing reports are affected. A configuration that is easy to create can still be difficult to maintain if nobody understands its effect on pending claims. Keep an exception route for disputes about policy; software routing does not itself resolve whether a purchase was authorized or should be reimbursed.

Use difficult claims to compare the proposals

These cases expose whether the proposed report process preserves both employee clarity and finance evidence. They are requests for a demonstration, not a feature ranking.

Use difficult claims to compare the proposals
ClaimOutcome to verify
Receipt in another currencyOriginal amount, conversion basis, and reimbursed amount
Personal portionBusiness allocation with the original receipt retained
Missing receiptA documented exception instead of an invented replacement
Manager absentDelegated approval that remains visible in the history
Report retractedClear status in both expense software and accounting
Late refundA credit connected to the earlier expense and employee balance

Check reimbursement separately from report approval

An approved report is not necessarily a completed reimbursement. Ask which payment routes are available for your entities and employees, what funding is needed, and where a failed payment appears. If the company pays through payroll or its bank instead, define how that payment is marked against the approved claim without creating another expense.

Use an illustrative $400 approved claim that is paid in two installments of $250 and $150. The process should show the original obligation, both payments, and a zero remaining balance. Then repeat the exercise with a returned installment. This verifies that employee communication and the finance record can stay aligned when payment does not follow the simplest path.

Prove the accounting export

Ask the accountant to specify the desired record type, date, employee or supplier identity, currency, expense account, and reporting dimensions. Then export the sample reports into a test ledger. Inspect the result, including attachments or links to evidence, rather than relying on a connector status that says successful.

Check a report edited after export and a credit arriving in the next accounting period. Someone must decide when a correction updates the original record and when it needs a separate accounting entry. Retain that decision with the configuration. A dependable connection should make errors visible and provide a controlled way to repair them without posting the same report twice.

Base the choice on users and continuing administration

Compare the plans required for your actual users, approvals, entities, integrations, and payment routes. Include occasional claimants and external contributors if they need access. A per-user or usage-based price means little without a definition of who counts and which activity is charged.

Zoho Expense may fit the wider Zoho and approval arrangement you want to maintain; Expensify may fit the reporting and reimbursement experience your team demonstrates. Let employees complete a claim and the accountant review its export before deciding. The purchase should leave a clear process for incomplete evidence, disputed claims, failed reimbursements, and departed staff, because those are the cases that will otherwise return to email.
