Expensify vs Ramp: expense reports, card controls, and the work after a swipe

Evaluate Expensify and Ramp using employee reimbursements, company cards, policy exceptions, accounting exports, and a complete monthly card reconciliation.

Start with how employees already spend

A team that mainly reimburses employees is solving a different problem from a team replacing its company card program. Compare Expensify and Ramp by separating those two decisions. Otherwise, a compelling card offer can obscure an awkward reimbursement process, or a familiar expense report can distract from controls the business needs before a purchase.

Expensify describes expense capture, report approval, reimbursements, and accounting connections. Ramp describes expense management connected with corporate cards and reimbursements, including spending limits and policy workflows. Both cover more than a narrow label suggests. The buying decision should use the proposed configuration, the cards you intend to keep, and the countries where employees actually need to spend.

Distinguish money the employee paid from company spend

Build a sample containing a personal-card purchase, a company-card purchase, and a transaction with a personal portion. The first may create an amount owed to the employee; the second usually does not. The third requires a documented decision about the amount the company will bear and any repayment. Have your accountant specify the treatment before testing the export.

For an illustrative $180 hotel charge with $30 of personal spending, the approved business amount is $150. Ask the system to retain the original receipt, approved business amount, and explanation of the remaining $30. Do not accept a demonstration that simply changes the receipt total. The business needs the original evidence even when it declines part of a claim.

Test policy decisions at the right time

A card restriction acts before or during spending. An expense approval examines information submitted afterward. Both can be useful, but they address different risks. A merchant-category restriction will not tell the reviewer who attended a meal, while a complete receipt will not undo an unauthorized purchase.

Ask each vendor to demonstrate the policy rules you need and the exceptions employees encounter. Include a legitimate purchase that should be allowed even though it falls outside the ordinary rule. The process should identify who can approve that exception and preserve the reason. Treat automated recommendations as part of a review workflow, not proof that every approved expense has a valid business purpose.

Give the trial to employees and the accountant

The following cases expose different kinds of friction. Time the work only if you run the trial yourself; a vendor demonstration is not evidence of your team's eventual savings.

Give the trial to employees and the accountant
CaseWhat a useful result shows
Missing receiptA clear request for evidence and an accountable exception decision
Employee reimbursementApproval, repayment status, and the correct employee balance
Company-card purchaseNo second reimbursement and a traceable statement transaction
Personal portionOriginal amount, approved business amount, and repayment handling
Refund next monthA credit connected to the original purchase and accounting period
Departing employeeAccess removal without losing receipts or unresolved claims

An accounting sync still needs reconciliation

Ask which records the proposed connector sends: expenses, bills, journals, attachments, payment details, and reporting dimensions. Confirm when those records transfer and what happens when an approved expense changes. A connection that exports something successfully does not establish that the accountant received the intended record.

Reconcile the trial's company-card activity to a sample statement. Explain opening balance, purchases, refunds, payments, and closing balance. Then reconcile reimbursable claims to amounts owed and paid to employees. These are related but separate checks. The selected workflow should make both understandable without requiring the reviewer to guess whether an imported item was paid personally or by the business.

Price the actual employee and card arrangement

Review subscription terms, required users, card eligibility, payment terms, reimbursement routes, and accounting features in the quote. If the proposal depends on moving company spend onto a particular card, evaluate that decision explicitly. Do not treat a potential reward as a guaranteed saving or ignore the work of moving recurring charges.

Include employees who travel rarely, contractors who submit occasional claims, and staff in another country. A setup that suits frequent spenders may create a different onboarding or support burden for everyone else. Ask how the business would add or remove those users and retain their records after access ends.

Choose from the unresolved work

The better fit is the configuration that leaves the business with fewer important gaps: unreviewed claims, missing receipts, unclear repayments, or unreconciled card balances. Expensify may fit an expense-report and reimbursement process you want to preserve. Ramp may fit a card-control and expense workflow you want to run together. Prove those conclusions with your employee mix and sample transactions.

Before signing, assign an owner for policy changes, card administration, reimbursements, and the monthly reconciliation. One person can hold several responsibilities, but none should disappear because the software automates part of the process. Keep the acceptance results with the purchase decision so the team can revisit the arrangement when its spending pattern changes.
