Name the reporting problem before requesting conversion
Explain which entities and statements need reporting in another currency and why. Identify the accounting framework, periods, users and current ledger currencies. A request to convert every figure at one rate can hide several different accounting questions. Ask the specialist to determine the appropriate scope before it prices a mechanical spreadsheet exercise.
The IFRS Foundation's IAS 21 overview distinguishes foreign-currency transactions, translation of foreign operations and presentation in another currency. It also identifies functional currency as a separate concept. Those distinctions apply within IFRS; have the adviser assess the relevant requirements for the company's actual framework and circumstances.

Assign the factual and policy decisions
Ask which currency determinations require analysis and what operational evidence supports them. Management may need to explain how the business generates and spends cash or how foreign operations function. The consultant should distinguish those facts from the currency chosen for a software account or a management presentation.
Identify prior conclusions and changes in circumstances. If a reassessment is needed, request a written analysis before implementation. Have the responsible accountant and relevant external professionals review material judgments through an agreed process. Do not allow a conversion contractor to change the company's reporting approach simply because a different setting is easier to use.
Specify rate sources, periods and historical evidence
Require the provider to document the rate sources and dates used under the accepted method. Ask how unavailable rates, corrections and unusual currency conditions are handled. The company should retain enough evidence to reproduce the calculation without relying on a live website whose historical display may change.
Define the treatment of comparative periods and opening balances within the project. A current-period conversion can require earlier information that management has not supplied. Ask the consultant to identify those dependencies and price historical reconstruction separately where necessary.
Keep the source ledger version fixed for testing and identify later adjustments. If another team continues posting, establish how changes are communicated and incorporated. A rate calculation cannot be verified sensibly when the underlying financial data changes without a traceable record.
Require reconciliations and a reviewable output
Ask for the converted statements, supporting calculations, explanations of differences and unresolved limitations suited to the engagement. The output should identify the currency and period clearly. A reader should not have to infer whether figures are local-currency records, a translated reporting package or a convenience conversion for discussion.
Have the qualified reviewer inspect representative balances and period movements under the approved method. Discuss any disclosure or group-reporting requirements with the responsible professional. The consultant's deliverable should not imply assurance beyond the service actually commissioned.
Set the ongoing update and change process
Name who obtains rates, supplies closing data, runs the calculation and reviews exceptions in later periods. Require instructions and an editable or otherwise maintainable output consistent with the agreed license terms. Include a defined first-update walkthrough with the person who will operate the process.
Ask whether the deliverable supports consolidation or only standalone statements. Intercompany eliminations and group adjustments should be explicitly included or assigned to another provider before acceptance.
Retain the currency decisions, rate evidence, reconciliation and accepted final version. Specify what future business change requires specialist reassessment. The engagement is useful when the company can maintain the approved reporting process and recognize its limits, without reusing a one-time conversion as though it settled every future currency question.
