Determine whether you are replacing or supporting the finance team

Wiss offers outsourced and co-sourced accounting. That distinction matters when your company already employs a controller or finance staff: you may need additional capacity, specialist work, or senior advice while keeping internal ownership. Institution's published service plans describe bookkeeping, tax, and managed accounting alongside a company workspace. Begin by deciding which responsibilities should move outside the business.

A vacant staff-accountant position, a slow close, and a need for a new reporting system are different problems. An outsourced monthly service might solve one and leave the others untouched. Write a short assignment describing the work, existing staff, accounting platform, and desired result before comparing the providers' proposals.

Check platform fit before comparing fees

Institution's connected accounting uses QuickBooks Online, whose subscription is billed separately by Intuit. Wiss Labs describes accounting-delivery options around platforms including QuickBooks Online, NetSuite, Sage Intacct, Rillet, Deltek, and Yardi. Wiss also describes an outsourced service within Xero. These are reasons to ask about a particular system, not evidence that every engagement includes implementation on every platform.

Give the internal controller a clear boundary

If you keep an internal controller, decide who owns accounting policies, who prepares schedules, who reviews them, and who approves adjustments. Document the division by account or process. A broad agreement saying the provider supports the close can otherwise leave both teams waiting for the other to act.

For example, your employee might retain billing and payroll while an external team reconciles bank accounts and maintains fixed assets. Management could keep forecast assumptions while an adviser builds the model. These are illustrative arrangements, not descriptions of either provider's standard package. Use them to make your preferred division explicit.

Also decide who answers a disputed accounting question. The internal team should know when to resolve it, when to consult a specialist, and when management must approve the business assumption. An outside review can add value only if the organization knows how the conclusion becomes part of the ledger and reporting process.

Preserve the reports that run the business

An income statement may be sufficient for a straightforward company. A project business may need results by job, a property group may need reporting by asset, and a manufacturer may need inventory and production schedules. Take the reports management currently uses into the scoping meeting, including the spreadsheets that sit outside the accounting software.

Wiss's platform and industry offerings make these appropriate areas to investigate. Ask which schedules the assigned team has agreed to maintain, where the information originates, and what happens when a source file is late. Ask Institution the same questions if considering its Managed Accounting service. A general accounting plan should not be assumed to include a specialist operational report without an agreement.

If you are considering a new platform, separate the report design from the system migration. Reproducing an old spreadsheet inside a new tool will not resolve inconsistent definitions. Management should approve the dimensions, formulas, and source records before the team begins building reports.

Keep implementation and recurring accounting as separate assignments

A system project needs its own owner, milestones, and acceptance criteria. Ask who configures the ledger, maps accounts, tests integrations, validates opening balances, and trains the staff who remain. Then ask which team takes over the ordinary monthly work after the project is accepted.

Institution distinguishes historical-data migration from historical cleanup in its pricing. Carry that same distinction into any Wiss proposal. Moving the data, fixing errors, redesigning the chart of accounts, and implementing a new reporting structure can each require different work. Request a cost and delivery boundary for each item that applies.

Avoid scheduling a platform change around an immovable reporting deadline without a fallback. Identify the system of record for the transition period and preserve the reconciliations supporting the last reliable close. Your company should be able to reproduce the agreed starting balances if a question arises later.

Identify the professionals required for specialist work

If the business needs tax, audit, valuation, or another specialist service, identify that requirement directly. Ask who would provide it and through which engagement or legal entity. Accounting outsourcing and assistance with audit schedules are different from an independent audit opinion. Where professional independence matters, have the responsible firm confirm the permitted arrangement.

For routine management accounting, focus on the people actually assigned to your work. Request the reviewer role, relevant platform experience, escalation process, and coverage during absence. A firm's wide service catalog can be useful, but the contracted team determines what your business receives each month.

Compare the operating model you will live with

Institution is a candidate when the business wants QuickBooks-connected records and a defined paid accounting or tax service. Wiss is a candidate when co-sourcing, a particular accounting platform, or an industry-specific assignment shapes the requirement. Those are starting hypotheses to test with the delivery leads.

Ask both teams to mark a responsibility chart and a sample monthly calendar. Include the internal staff who supply inputs and accept the reports. The final agreement should identify the first close, ongoing review, project work, software costs, and exit deliverables so the organization can continue operating when staff or providers change.
