How bookkeeping works in Institution

The path from an uploaded statement to a closed month, and where you come in.

Updated 2026-10-11

Bookkeeping in Institution follows one path. You upload source documents, Institution Max reads and categorizes them, you resolve what it could not settle, and the team reconciles the accounts and closes the month.

The steps

  1. Upload your statements and processor exports, or your receipts. The original files stay as they are.
  2. Institution Max reads the files, creates the transactions, and suggests a category for each.
  3. Items it cannot safely settle on its own go to Needs your attention. You decide those.
  4. The team reviews confirmed items and reconciles each account to its statement.
  5. When the month's work is complete, the books are closed and your financial reports are delivered.

Where each step lives

  • Documents is where you upload.
  • Bookkeeping, then Transactions, is where you search and read the books.
  • Needs your attention is the review queue.
  • Reconciliation shows how book balances compare to statements.
  • Month-end close shows progress, blockers, and whether reports are delivered.
  • Reports and analytics holds the finished statements.
Note

You do not have to understand accounting to use this. Your part is to upload complete documents and answer the questions that land in Needs your attention.
