Record the actual stop outcome
For each route, retain the orders loaded, delivery attempts and final outcome reported by the driver. Distinguish delivered, customer unavailable, address problem, rejected goods and goods returned to the store. A route completed status does not establish that every customer received an order. Match the outcome to the original order identifier and any proof required by the business's process.
Shopify's local-delivery workflow allows staff to prepare orders and update delivery status; marking delivery also triggers customer confirmation. Use that action only when the operating evidence supports it. A premature status update can create a customer dispute and leave finance relying on a fulfillment record that does not describe the physical event.

Reconcile what the driver brought back
Compare undelivered route quantities with goods accepted back at the store. Record condition and whether products remain suitable for another delivery or sale. Keep damaged or temperature-sensitive items under the operating team's approved handling process. Returning a parcel to the building does not automatically restore its full saleable quantity or value.
In a hypothetical route of 50 orders, 46 are delivered, three return intact and one returns damaged. The route has four customer obligations to resolve, with two different inventory outcomes. Do not create four new product issues when arranging redelivery if three original parcels remain usable. Record any repacking or replacement units actually consumed.
Retain the driver's handoff and the receiving employee's acknowledgment. This provides an accountable transition between goods in the vehicle and goods held at the store.
Approve the customer remedy and additional delivery
Confirm whether the customer wants redelivery, pickup or cancellation under the applicable terms. Record any agreed fee or waiver and the reason. The customer service owner should know the original payment status before arranging a new charge. A second delivery attempt does not automatically create a second product sale.
Link the new route reference to the original order. If the system requires a replacement fulfillment document, mark its purpose clearly and verify that the accounting connector does not import another full sale. For a cancellation, track the completed refund independently from the physical return and any original delivery cost the business still bears.
Assign the cost to the verified cause
Record incremental driver time, courier charges, packaging and product loss where measurable. Separate customer-requested redelivery from dispatch errors or failed operating instructions. The accountant determines financial classification, while operational reporting can retain the reason needed to assess delivery policy and route design.
At the end of the delivery cycle, reconcile all loaded orders to delivered, returned, redelivered or otherwise approved outcomes. Keep unresolved customer contacts and missing goods visible with owners. Review patterns using confirmed causes rather than automatically labeling every failed stop customer fault. The next route should contain only the orders actually authorized for another attempt.
