Team roles and permissions

What Owner, Admin, Member, Billing, and Documents only mean, and how permission presets work.

Updated 2026-10-11

Access has two parts: the role someone holds and the permission preset that sets what they can do. You can also limit them to specific services.

Roles

  • Owner and Admin run the workspace. A workspace always keeps at least one owner or admin.
  • Member is the standard role for people who work in the workspace day to day.
  • Billing is for someone who handles payments.
  • Documents only is for someone who needs to upload or read files and nothing else.

Permission presets

  • Viewer can view and nothing else: no requests, no uploads, no billing.
  • Contributor can view, create requests, and upload documents.
  • Billing can view, create requests, and manage billing, but cannot upload documents.
  • Admin can do all of the above and manage the team.

Limiting access to services

Under Service access mode, choose All services or Selected services only. You can limit a person to areas such as Bookkeeping, Documents, E-Signatures, Invoices and Payments, Receivables, Payables, Proposals, Messages, Appointments, and Support.

Changing access later

Open Settings, then Team, choose Edit service access for the person, and select Save access.

Note

If a colleague says a page is missing or locked, check their role and service access here before anything else. See why a team member cannot see a page.
